ABOUT THE ROLE :

  • As the Administrator, your primary responsibility will be to oversee and optimise all operational aspects of our team, ensuring the seamless coordination and execution of various processes. You will be central to coordinating and streamlining administrative functions, providing crucial support across financial administration, project management, our network of fieldwork service providers, client relationship management, content development, and business development initiatives.
  • KEY RESPONSIBILITIES :

    Financial Administration :

  • Act as the liaison between the central Finance team and PDI for specific financial requests and processes.
  • Coordinate the practice pipeline, order book, and forecasts.
  • Manage key project management features within the finance system, including timesheets, expenses, subcontractor purchase orders, and client invoicing.
  • Support project managers with project set-up, closure, and monthly invoicing processes.
  • Handle the monthly expense claims for Senior Management, including credit card reconciliations.
  • Project & Fieldwork Partner Network Management :

  • Ensure project life-cycle compliance and alignment with our internal principles.
  • Support the development and maintenance of our Fieldwork Partner Network (FPN) database.
  • Manage contracts and ensure all required documentation is in place for bids and partnerships.
  • Facilitate project kick-offs and close-outs, and manage project records.
  • Relationship Management & Business Development :

  • Develop and maintain professional working relationships with internal and external stakeholders.
  • Manage subcontractor databases and the client feedback process.
  • Support business development by coordinating opportunity scanning, formatting CVs, preparing compliance documentation, and managing the proposal submission process.
  • Administrative & Team Support :

  • Coordinate team meetings, functions, and events, including agenda setting and note-taking.
  • Assist with the induction of new team members.
  • Manage travel arrangements for the team, ensuring compliance with company and client processes.
  • Develop marketing materials and capability statements in collaboration with the marketing team.
  • Requirements

    QUALIFICATIONS & EXPERIENCE :

  • A Diploma or Bachelor's degree (NQF 5 to 7).
  • A minimum of 2 years of relevant work experience is required.
  • Previous work experience in a consulting or research environment is advantageous.
  • IT literate and proficient in Google Workspace and / or Microsoft Office.
  • Skilled in using financial management tools and related software.

  • Excellent written and verbal communication skills in English.
  • A creative approach to problem-solving.
  • High level of discretion and ability to handle confidential information.
