Job description

Purpose of the JobMaximising service, sales and profitability by obtaining maximum productivity, efficiency and customer satisfaction.Key ResponsibilitiesStaff ManagementManage staff time and attendance, productivity, and efficiency Supervise and coach staff to maintain a customer-focused environment Ensure staff adhere to the dress code and PPE requirements Identify training and development needs for staff Conduct staff performance reviews / appraisals as required Hold regular staff meetings and feedback sessions Workshop Operations, Capacity Planning and Work in Progress (WIP) Conduct daily WIP planning Monitor and manage workshop productivity and efficiency Interact daily with Service Advisors and the Parts Department to ensure parts availability for scheduled services Ensure all vehicles are serviced in line with OE service schedules and requirements, and confirm all vehicles are tested and operating correctly after work is completed Ensure errors are rectified to minimise recurrence of complaints Ensure workshop operations run smoothly and resources are utilised optimally Maintain up-to-date knowledge of industry developments Customer Service LevelsEnsure internal and external customers are kept up to date with their vehicle's progress at all times Resolve customer complaints promptly Workshop AdministrationEnsure % accurate data input in Embrace (e.g.

hour readings, job start and end dates, correct fault codes, and correct job types) Ensure all SOPs are adhered to Update workshop manuals when necessary Ensure accurate costing and closure of job cards Ensure all required documents are attached to job cards, both manually and electronically Ensure job cards are sent to the Isando filing room according to the monthly handover schedule Ensure quotations from preferred suppliers for outsourced and outwork jobs are requested, received, and processed on time Sign off job cards in accordance with requirements Ensure all recovery billing is documented and invoiced to external customers ReportsGenerate the open job card report daily; investigate and ensure only WIP job cards remain open Report any WIP to management Generate the open purchase order report daily; investigate and ensure only WIP orders remain open Submit all required reports to management within agreed timelines Asset ManagementManage and maintain all company assets Report any loss or damage of company assets to management Request asset disposal in line with SOP and authority schedules Recovery and Warranty ClaimsEnsure correct recovery and warranty claim processes are followed Financials / BudgetManage the workshop in a cost-effective manner and within budget Provide profit and loss reports as requested Quality StandardsEnsure the workshop has the correct tools and equipment for the job at hand Ensure tools are in good working condition and suitable for specific tasks Conduct frequent spot checks to ensure required service standards are met GeneralMaintain professional conduct at all times Assist with operational functions as required Ensure dress code complies with company SOPs Maintain housekeeping standards on a daily basis Ensure Health and Safety standards are consistently upheld Maintain accurate technical information and ensure it is accessible to the technical team Attend product and technical training as required Apprentice ProgrammeManage the apprentice programme within your workshop Minimum RequirementsGrade 12 (Matric) 7-10 years' Previous Workshop Management experience Skills RequiredAble to apply business principles and processes applicable to own work area / environment under general supervision Ability to articulate – to relay information back and forth Able to motivate the team to achieve the best results #J Ljbffr
