Schedule and assign maintenance technicians based on skill set, location, and workload to ensure timely completion of all work orders. Monitor technician progress, update job statuses, and communicate changes across teams in real time through company systems (AppFolio, Podio). Communicate proactively with residents to confirm appointments, share updates, and manage expectations. Review technician timecards, materials, and notes to verify accuracy before billing or closing work orders. Track KPIs such as response time, completion rate, and scheduling accuracy to support continuous improvement efforts. Collaborate with the maintenance team to adjust coverage, resolve scheduling conflicts, and identify process enhancements. Minimum of 5 years of experience in dispatching, scheduling, or maintenance coordination. Proven ability to manage and dispatch 3-5 technicians at once while minimizing downtime or overlap. Solid understanding of maintenance operations, repair timeframes, and material / labor costs. Strong English communication skills, both written and verbal. Reliable high-speed internet connection (50-100 Mbps download / 10-20 Mbps upload), dual-monitor setup, and functioning camera / microphone. Experience using work order management systems such as AppFolio, ServiceTitan, or similar platforms. Prior experience in property management or facilities maintenance. Background in customer service or client communications.
