Job description

Large Mining Company in development phase is seeking to appoint an experienced Training Administrator who will report directly to the Training Manager and will serve as a member of the Human Resources Team.

Position will be based at our Mine Site situated in the Greater Tubatse area, within the Sekhukhune District Municipality, in Limpopo Province.Responsibilities : Ensure capturing, monitoring and tracking of training, budgets and relevant administration requirements for legal reporting.Effective and efficient management of the central training administration.Organize and coordinate training sessions; reserve space for training, ensure that audiovisual equipment is available and operating, copy, and distribute materials such as handouts, and other similar details and tasks.Maintain a proper learning management database that tracks training expiry and requirement for refresher in line with licenses as well as job specific training.Print operator licenses and track expiry thereof.Maintain records of attendance and successful completion of training.Assist with the development and maintenance of the company training calendar.

Track required initial and refresher training schedules.Participate in creating and implementing training programs.Maintain training records (e.g., trainee lists, schedules, attendance sheets).

This shall include even those generated by external training providers on our employees.Create learners on the MQA SETA Management Information System and ensure they are registered and continuously capture achievement of learning outcomes of learners thus ensuring certification and completion against specific learning programmes.Follow-up with the MQA on certification approval of learners.Ensure Discretionary Grants Applications are made and followed-up for payments once learners are registered.Assist and contribute to the submission of the WSP / ATR annually.Assist with registration of Assessors and Moderators with the MQAmunicate daily training pass-outs to line management.Constantly send professional reminder e-mails to management with an attachment of expiry training thus assisting the line management to release their employees to attend refresher training.Assist the training manager with a procurement plan for departmental items and in the main, stationery for the department.Assist the training manager with payment and tracking payment of all invoices that must be paid and also once they are paid and prepare monthly departmental procurement / expenditure report.Assist with the collaboration with management to gain knowledge of work situation requiring training for employees.Assist in the development of training matrix in line with training requirements for the mining industry to ensure a safe and effective and competitive work force.Assist with planning, developing and provision of training and staff development programmes.Assist with analysing training needs to develop new training interventions.Assist with development of new value-added training material.Assist with facilitation of relevant training interventions.Assist with the transfer of skills and knowledge.Assist with accurate assessment of skills, abilities, and knowledge to determine competence levels.Assist with assessment of trainees to measure progress and to evaluate effectiveness of training.Research and examine training products, review samples, demonstration, and website content, and suggest additions or enhancements of the company's training library to the Training Specialist.Act as a point-of-contact for vendors and participants.Handle accounts receivable and ensure invoices are paid.Capture all training information and data as required.Submit reports on training activities and results.Assist with monitoring of training results and statistics.Recommend improvements or new programs.Resolve issues as they arise.Adhere to legal and reasonable instructions from the Training Manager, HR Superintendent, HR Supervisor and Mine Manager and other duly authorized persons upon request.Adherence to legislation, Standards Operating Procedure, Codes of Practice and Health and Safety policies and Procedures.Ensure employees and vendors follow established policies.Assist the training staff with their assigned duties.Administer and maintain files.Receive documents for disposal in terms of the National Archives Act.People : Assist in enforcing the Company's 'Code of Conduct'.Advise management on training required by employees.Assist in creating high performing teams and conducive employee relations climate.Assist in ensuring that safety regulations are adhered to by employees.Assist in achieving HDSA / female targets for the department.Interact well with employer, employees & stakeholders.Positive, approachable and enforce discipline.Ensure that health and safety standards are always adhered to.Manage performance against set targets and competencies : Monitor, manage and participate in routine workplace safety activities.Manage complexity at varying levels and adapt quickly to changes in job priorities.Identify deviations or non-conformances, plan and implementing corrective actions to ensure attainment of the department plan.Work overtime / standby / shifts as needed.Ensure overtime and shift compliance in line with the BCEA.Work within budget and avoid material wasting.

Control the utilisation of allocated resources (i.e.

people, machines, and equipment).Take cognisance of and adhere to company policies, procedures, and relevant legislation.Manage and report on non-compliance issues to manager.Establish and maintain good working relationships and an effective / sound communication system with the various teams and departments.Strong commitment to service and quality standards as well as stakeholder satisfaction.Any other responsibility that can be reasonably expected in this role / function.Qualifications : National Senior Certificate (Grade 12) or equivalent.Diploma or Higher Certificate in Training and Development, Administration, Education, HR or similar field.Accredited as Moderator / Assessor / Facilitator at MQA advantageous.Valid Driver's License.Experience : Minimum of 3-5 years' in the Mining Industry as an Administrator or similar role.Minimum of 2 years' experience as a Training Administrator, HR Assistant, or similar role.Experience in records development and management.Experience in project management advantageous.Experience in dealing with or contributing to regulatory reports such as BBBEE, WSP / ATR, SLP and Mining Charter advantageous.Language Requirements : English : Fully Proficient.Sepedi : Verbally Proficient advantageous.Fanakalo : Verbally Proficient advantageous.Knowledge & Skills : Knowledge of Assessment document flow and Attention to detail.Knowledge of registry processes and practices as well as the ability to capture data.Knowledge of storage and retrieval procedures in terms of the working environment.Knowledge of office procedures and billing.Ability to train people advantageous.Ability to work independently, as a team and under pressure.Excellent planning, organizational and multitasking ability.Time management.Additional Requirements : Medically fit to work on an underground mine.
