Job description

Key Responsibilities :

Administrative Duties :

  • Manage the full administration of client portfolios including switches, withdrawals, contributions, pension transfers, and payments and quarterly reviews.
  • Process new business and ongoing service requests across a wide range of products (Allan Gray, AIMS, Old Mutual, Credo, SwissQuote, etc.)
  • Ensure timely and accurate lodgement of applications and compliance documentation.
  • Maintain accurate and up-to-date records on Xplan and other provider platforms.
  • Liaise with product providers, platforms, and internal teams to ensure seamless client service.

Compliance & Technical Knowledge :

  • Apply working knowledge of regulations, compliance standards, and advice documentation requirements.
  • Ensure all actions and documentation meet legislative and internal audit requirements.
  • Understand the technical aspects of financial products and how they apply to different client strategies.
  • Team Leadership & Development :

  • Support and mentor junior administrative staff in day-to-day tasks and long-term development.
  • Delegate responsibilities appropriately, ensuring efficiency and high-quality service delivery.
  • Provide training in administrative procedures, systems (e.g., Xplan, provider platforms), and compliance practices.
  • Contribute to the continuous improvement of processes and operational workflows.
  • Skills & Experience Required :

  • Minimum 45 years experience in a Wealth Management / Financial Planning Administration role.
  • Proficient in Xplan and various financial provider systems.
  • Strong knowledge of Local and Offshore Investments, Pensions, Endowments, RAs and Estate Planning.
  • Demonstrated understanding of the regulatory environment and advice compliance frameworks.
  • Excellent organisational and time management skills with a high attention to detail.
  • Clear communicator with strong interpersonal skills and the ability to build rapport with internal and external stakeholders.
  • Experience in (or a strong desire to grow into) a leadership or managerial role.
  • Desirable Qualifications :

    Understand the technical aspects of financial products and how they apply to different client strategies.

  • Diploma or Certificate IV in Financial Services (or working toward).
  • Management or leadership training / certification (advantageous but not essential).
  • Previous experience leading or mentoring a small team.
