Job Title : Personal Assistant with Accounts Experience

Location : Newcastle

Reports To : Senior Manager

Job Type : Full-time

Salary : Max R per month

Date : Immediately

Responsibilities

  • Administrative Support : Provide day-to-day administrative support to the Manager, including calendar management, scheduling meetings, and handling correspondence.
  • Screen and prioritize calls, emails, and other forms of communication.
  • Prepare and organize travel arrangements, including flight, accommodation, and itineraries.
  • Organize and maintain files, documents, and records, both digital and paper-based.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Perform general office duties such as ordering supplies, managing office maintenance, and liaising with service providers.
  • Accounts & Financial Support : Assist with basic accounting tasks, including invoice preparation, expense tracking, and reconciliation.
  • Maintain accurate records of financial transactions and assist in the preparation of financial reports.
  • Support the budgeting process and ensure timely processing of invoices and payments.
  • Liaise with vendors, clients, and internal departments regarding financial matters.
  • Assist with payroll preparation, including tracking employee hours, managing expenses, and reconciling accounts.
  • Prepare financial spreadsheets and reports using Excel or other accounting software.
  • Ensure adherence to company financial policies and procedures.
  • Project Management : Assist in managing small projects or tasks, ensuring deadlines are met and milestones are achieved.
  • Provide support in organizing events, meetings, or conferences, including budgeting and vendor coordination.
  • Other Duties as Assigned : Undertake any other tasks or responsibilities as required by the Manager to ensure the smooth running of daily operations.

Requirements :

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Solid background in accounts or financial administration, with a basic understanding of accounting principles.
  • Strong proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Strong attention to detail and accuracy, especially in financial matters.
  • Highly organized with the ability to work independently and as part of a team.
  • Discretion and integrity when handling confidential information.
  • A proactive attitude, with the ability to anticipate needs and take initiative.
  • A relevant degree or qualification in Business, Finance, or a related field is a plus.
