Job description

Role : Appointment & Administrative Assistant

Priority Location : SA

Working Hours : 8AM - 5PM MST

Salary Range : $1000 - $1300 usd per month

Type of contract : Full-Time (40hrs / w)

About the Company :

We are a growing home service business with 17 years in operation. As we enter our busy season we need a dedicated first point of contact for our customers. You will be the voice of the company handling inbound calls texts and emails scheduling appointments managing follow-ups and ensuring no opportunities slip through the cracks.

Job Summary :

This role combines administrative support with appointment setting. Were looking for someone friendly detail-oriented and proactivesomeone who enjoys keeping operations smooth while also helping to drive growth.

Key Responsibilities :

  • Frontline Communication

Answer incoming phone calls with professionalism and warmth.

  • Respond promptly to emails SMS and voicemail messages.
  • Represent the business as the first point of contact for new and existing customers.
  • Scheduling & Coordination
  • Book reschedule and confirm customer appointments.

  • Ensure technician schedules and routes are practical and efficient (using Google Maps / Waze).
  • Flag conflicts and resolve them with customers in real time.
  • Follow-ups & Appointment Setting
  • Call back warm leads and past customers to secure repeat business.

  • Proactively manage call lists and maintain a steady flow of appointments.
  • Track and report follow-up outcomes weekly.
  • Administrative Support
  • Update and maintain CRM records.

  • Run basic reports as requested.
  • Collect and organize customer feedback / reviews.
  • Key Requirements :

  • 36 years of experience in customer service appointment setting or administrative support.
  • Excellent spoken and written English; clear confident phone presence.
  • Strong organizational skills and attention to detail.
  • Proactive problem solver who can adapt quickly (e.g. re-routing technicians when schedules shift).
  • Comfortable using Google Workspace CRM systems and mapping tools (Google Maps Waze).
  • Available to work U.S. business hours (Arizona time zone).
