Overview
Our client is seeking a highly motivated, detail-oriented, and experienced Events Co-ordinator to join their dynamic team. The successful candidate will be responsible for the end-to-end planning, execution, and management of a wide range of corporate events, including but not limited to conferences, seminars, workshops, client appreciation events, and internal staff functions.
Key Responsibilities & Duties
Event Planning and Strategy
- Collaborate with internal stakeholders (marketing, sales, executive leadership) to define event objectives, target audience, and key messages.
- Develop comprehensive event plans, including timelines, budgets, and resource allocation.
- Source and secure suitable venues, vendors (catering, AV, entertainment), and suppliers, ensuring cost-effectiveness and quality.
- Negotiate contracts with vendors and suppliers to secure favorable terms and conditions.
Event Execution and Management
Manage all logistical aspects of events, including registration, attendee management, speaker coordination, and on-site support.Oversee event setup and teardown, ensuring all elements are in place and function as planned.Act as the primary point of contact for all event-related queries from internal and external stakeholders.Manage on-site event operations, troubleshooting any issues that may arise in a timely and professional manner.Ensure all events adhere to health and safety regulations and company policies.Budget Management
Create and manage event budgets, tracking all expenses to ensure events remain within allocated funds.Provide regular financial reports and post-event budget reconciliation.Identify opportunities for cost savings without compromising event quality.Marketing and Promotion
Work with the marketing team to develop promotional materials, including invitations, e-mail campaigns, and social media content.Manage attendee registration platforms and databases.Analyse event data and provide post-event reports on attendance, feedback, and return on investment (ROI).Stakeholder & Vendor Relations
Build and maintain strong relationships with internal teams and external partners.Manage a network of trusted suppliers and vendors to ensure a high standard of service.Qualifications and Experience
Education : A relevant commercial qualification, or a degree / diploma in Marketing or Events Management is essential.Experience : A minimum of 3-5 years of proven experience as an Events Co-ordinator or similar role, specifically within the financial services, insurance, or banking sectors.Knowledge : In-depth knowledge of the events management lifecycle, from concept to post-event analysis.Technical Skills : Proficiency in event management software, CRM systems, and Microsoft Office Suite (Word, Excel, PowerPoint).Must have a valid driver’s license and own reliable transport.Personal Attributes
