The Role

Located on our main city centre campus the School of Medicine provides current and innovative education and training to equip a workforce for the diverse challenges of the sector and excels in relevant research.

Working under the leadership of the Education Manager (Assessment) our assessment team supports our MBBS programme on our Newcastle and NUMed Malaysia campuses and our Physician Associate programme at Newcastle. As part of our assessment team you will primarily be responsible for the collation and analysis of marks for student assessment and the provision of management information to support and advise the schools senior leadership team to aid transparent decision making relating to assessment and student outcomes.

You will be naturally collaborative and will work closely with the wider team to support the full range of assessment processes in the School.

As the Education Officer (Data) with responsibility for the integrity of assessment data you will be an advanced user of Excel with excellent data management skills and experience of analysing complex data sets. Assessment delivery will be your main focus but you will also get involved in other aspects of programme delivery at key points in the academic year including admissions curriculum placements in the UK and overseas student experience student wellbeing and many more business functions. As well as working with the immediate team in the University assessment delivery also includes working with our key partners in the NHS and our NUMed campus in Malaysia.

You will use your communication skills to liaise with colleagues across the region who are involved in medical education and assessment. You will use specialised software and your problem-solving skills to provide accurate and insightful analysis of complex data.

This is a fast-paced role and at times can be pressured and occasionally may require working outside of normal hours. Although training and ongoing support will be provided it is essential you have the ability to navigate complex systems quickly and effectively with a high degree of accuracy and an attention to detail.

Key Accountabilities

  • To coordinate assessment procedures including convening examination boards and ensuring correct set up of associated systems and databases. This includes managing the end-to-end administration for processing assessment results including :
  • Prepare and maintain accurate lists of candidates for main cohorts and out of sync students. Create marking sheets and assist in exam set up.
  • Review develop and maintain systems for compiling marksheets (currently Excel) in order to gather in and record a wide range of assessment data from clinical assessments across the region on-line examinations and digital devices to support assessment of students.
  • Upload assessment and feedback outcomes to bespoke systems e.g. the Schools Assessment and Feedback system for students and Jumping Rivers portal for question performance analysis. To consolidate and present data into a comprehensive mark sheet (Excel) for Boards of Examiners to enable decision making and the award of degrees.
  • To contribute to the development and support of assessment systems working closely with external agencies (e.g. GMC) the facultys Technology Enhanced Learning unit NUIT and other relevant central services to improve reporting requirements data integrity and efficiency of processes.
  • To oversee the administration of processes relating to adjustments required for students with wellbeing issues or personal extenuating circumstances (PEC). Track PEC applications liaise with the PEC Committee and communicate decisions to students and relevant stakeholders.
  • To develop a comprehensive and working knowledge of the University and Programme Regulations and data compliance (GDPR) as they are applied to assessment processes in the School.
  • To use a range of digital media and tools to communicate with a diverse range of key stakeholders both verbally and in written format who may need to access information across different geographic and time zones.
  • Provide information to programme review and evaluation exercises for the purposes of continuous development. Continuously review and develop methods and depth of data analysis to influence improvement in curriculum delivery and teaching.
  • Contribute to the curriculum development process through the review of module outlines and programme regulations liaising with academic colleagues as appropriate
  • Contribute to the preparation of the annual assessment calendar and academic calendar. Update relevant student lists across various systems on an annual basis in preparation for the new academic year.
  • To liaise with colleagues to ensure all learning teaching and student experience matters dealt with in the front facing offices (e.g. personal extenuating circumstances) are communicated to the appropriate staff for completion.
  • To act as or supervise those acting as secretary to Module Moderation Boards Committee Meetings and Boards of Examiners including agenda preparation and circulation minute taking and monitoring progress of actions.
  • To provide guidance based on regulations to students and academic staff with regard to non-standard requests and provide student-based management information as required.
  • To assist the Education Manager (Assessment) as appropriate with the administration of appeals and complaints forms.
  • Conduct an analysis of a wide range of assessment data management information to support strategic performance monitoring and key decision-making processes including the provision of specialist support and information.
  • To co-ordinate the development of and delivery of projects to further the Schools assessment strategy. This will include :
  • Identifying ideal methodology and providing oversight on the data collection process and analytic work plan to ensure all available information is generated to support business needs
  • Produce meaningful and engaging reports and analysis that will allow engagement with staff (e.g. running consultation events)
  • Completing and conveying analysis and recommendations via presentations and written reports to staff
  • Any other duties within the scope and general nature of the grade which may be required.

The Person

Knowledge Skills and Experience

  • Advanced Excel skills with the ability to develop and implement advanced formulas and functions to automate complex calculations.
  • Excellent skills and relevant experience working with large complex data sets and using data analysis tools dashboards and business intelligence systems to analyse interpret and communicate information to a range of audiences.
  • Highly developed IT skills including a detailed working knowledge of Microsoft Officepackages and some experience of using student record systems would be advantageous.
  • Experience of recording decisions in meetings.
  • Excellent numeracy together with a high level of competency and confidence in handling and manipulating data from a diverse range of sources.
  • Experience of independently taking day to day decisions on appropriate courses of action to resolve complex or unforeseen problems
  • Experience of implementing policy and procedures and involvement with future changes for a service area.

  • Qualifications

  • ALevel (or equivalent) qualification plus work experience in a relevant role or broad work experience acquired through a combination of vocational training and considerable on-the- job experience demonstrating development through progressively more demanding relevant roles.
