Position : Accounting Assistant / Office Manager

Working Schedule : 8am-5pm CST

Salary Range : $1,800- $2,400 / month (the final salary will be determined by the candidate's level of experience and at the discretion of the client)

Job Summary :

We are seeking a highly organized and detail-oriented Accounting Assistant to manage office operations and support accounting functions for multiple related construction and design companies. This role combines office management responsibilities with accounting support , ensuring smooth day-to-day operations while maintaining accurate financial records.

Key Responsibilities :

  • Office Management
  • Handle and direct incoming phone calls (minimal volume, with backup from other team members).
  • Order and maintain office supplies.
  • Schedule and coordinate office cleaning and general property maintenance.

Accounting & Administrative Support

  • Invoice Processing :
  • Enter project-related invoices for multiple construction companies.
  • Enter and process all overhead invoices.
  • Expense & Labor Management :

  • Process receipts for project manager purchases and mileage reimbursements.
  • Enter and manage labor hours for multiple companies.
  • Architectural Design Company Bookkeeping :

  • Review employee work hours and generate invoices.
  • Track and bill third-party expenses to clients.
  • Subcontractor Management :

  • Manage and maintain subcontractor master contracts .
  • Track and ensure compliance with insurance information and certificates .
  • Required Qualifications :

  • 3+ years of accounting or bookkeeping experience.
  • Familiarity with construction or architectural industries.
  • Proficiency in accounting software (QuickBooks) and Microsoft Office.
  • Strong organizational skills with the ability to multitask.
  • Attention to detail and accuracy in data entry.
  • Excellent communication skills and professionalism.
