Job description

What youll be doing

  • Greet visitors, answer and direct phone calls, and provide excellent front‑office service.
  • Compile reports, take minutes of meetings, prepare presentations and other documents as required.
  • Manage reception duties
  • Organise and schedule appointments, meetings and conference room bookings.
  • Set up and maintain an accurate and effective filing system (both physical and electronic).
  • Provide procurement support : sourcing office / production supplies, raising purchase requests, tracking orders.
  • Support the administration of the Quality Management System (QMS) as instructed.
  • Provide administrative coordination for the production function as instructed
  • Provide general administrative support to team members as required.
  • Carry out all duties with safety in mind and adhere to the companys health & safety rules and policies.
  • Perform any ISO‑assigned responsibilities as detailed in the QMS (eg : internal audits, document control).
  • Perform any HSE‑assigned responsibilities (eg : participate in safety training, assist with incident reporting).
  • Abide by any lawful instruction provided by a superior (within your capabilities and without endangering your personal well‑being).

What youll need

  • Grade 12 (or equivalent) required; further qualification in Business Administration or Production Support is an advantage.
  • Proven experience in a reception area, administrative or production support role (or comparable).
  • Excellent interpersonal and communication skills (verbal and written).
  • Strong organisational skills with attention to detail and ability to prioritise multiple tasks.
  • Proficiency with MS Office (Word, Excel, PowerPoint) and experience with document preparation.
  • Comfortable compiling reports.
  • Ability to handle a front‑of‑house environment in a professional and friendly manner.
  • Basic procurement knowledge or willingness to learn (purchase orders, sourcing supplies).
  • Understanding or willingness to learn about QMS / ISO systems and HSE procedures.
  • Commitment to working safely and adhering to health & safety protocols.
  • Ability to work both independently and as part of a team.
