Job Description

Responsible for managing the end-to-end administration of security access cards and credentials for employees, contractors, and visitors in line with company security policies, access control procedures, and compliance requirements. Ensure accurate issuing, updating, and deactivation of access cards and maintain secure and auditable records of all access activities and authorizations in the organization.

Requirements

Access Card Issuing and Management

Issue, activate, deactivate, and replace physical access cards in accordance with approved access authorizations.

Process access card applications, verifying approvals, ID documents, contract status, and clearance levels.

Maintain strict controls over blank cards, issued cards, temporary passes, and lost / stolen reports.

Access Control System Administration

Capture and update user profiles in the access control system (e.g., Gallagher, Babylon, Impro).

Maintain current access permissions according to role-based access levels and site-specific security zones.

Flag and escalate any access control anomalies, unauthorized attempts, or duplicated card activities.

Records and Audit Compliance

Maintain accurate records of all issued, expired, and revoked access cards.

File and archive access authorizations, contractor registers, visitor logs, and cardholder agreements.

Prepare reports for audits and investigations, including access history, logs, and exception reports.

Visitor and Contractor Access Coordination

Facilitate issuing of visitor and contractor access cards, including temporary credentials.

Coordinate with line managers, HR, and facilities for onboarding and offboarding security clearance.

Ensure visitors are registered, signed in, and briefed on access restrictions and escort protocols.

Card Stock and Asset Management

Monitor inventory levels of access cards, printers, ribbons, and other consumables.

Arrange card printing, maintenance of badge printers, and assist with badge design and updates.

Ensure secure storage of access card stock and supplies.

Service and Stakeholder Support

Serve as the first point of contact for access-related queries, card reissues, and status updates.

Support employees and contractors with technical or procedural issues related to access control.

Liaise with the Control Room, HR, IT, and Facilities on integrated access requirements and escalations.

NQF 4 : Grade 12

Additional InformationCertification, qualifications and experience :

PSIRA Grade C registration (minimum) preferred.Post-matric certificate in Security Administration, Office

Administration, or knowledge / certification of IT Systems will be an advantage.

2-3 years’ experience in a security administrative or access control environment

Experience working with access control systems (e.g., Babylon, Gallagher, Impro, Lenel) is preferred

Familiarity with corporate security policies and facilities procedures.

Requirements

Access control and verification Greet and assist all visitors, employees, and contractors in a professional and courteous manner. Verify identification, issue visitor badges / cards, and maintain accurate visitor logs. Enforce access control policies, including Anti-Passback rules and National Key Point compliance requirements. Monitor entry / exit points to prevent unauthorised access. Conduct basic bag or equipment inspections where authorised. Use electronic access systems and CCTV to monitor lobby activities. Visitor & Contractor Management Contact hosts to confirm appointments before granting access. Ensure all visitors and contractors are escorted or directed to their destination. Incident Reporting Report suspicious activities, security breaches, or safety hazards to the Security Consultant or Control Room immediately. Maintain accurate incident and access records for audits. Customer Service & Communication Provide information and directions to authorised visitors and employees. Handle
