And we lead with care, not comfort.The role will be based in our Cape Town branch office, enhancing our ability to deliver high-quality legal services across the firm, helping us meet increasing client demand and stay competitive in a rapidly evolving market for transformed legal delivery.The Team Administrator will play a key role in supporting lawyers and team members by providing proactive, professional support ensuring the team's operational needs are efficiently met.

You’ll Be Responsible For

  • Maintaining the filing system, ensuring that all files are accurate and up to date.
  • Establishing and managing new filing structure in line with operational needs.
  • Print and file matter-related emails upon request, ensuring hard copies are stored appropriately.
  • Coordinate the archiving and retrieval of files and legal deeds from storage as required, maintaining compliance with data retention policies.
  • Assisting with managing lawyers' electronic schedules, arranging meetings / appointments and lunches both internally and externally.
  • Liaising with reception to ensure all room bookings and hospitality requirements are in place.
  • Collating and preparing information for meetings, both internally and externally and producing and circulating agendas and itineraries.
  • Assisting Legal PAs and Business Development with preparation and sending out brochures to prospective clients and management of the interface with the Marketing Group including provision of contacts for seminars.
  • Assisting Legal PAs with travel and accommodation arrangements for local, national and international travel.
  • Updating lawyers' client contact databases.
  • Answering incoming telephone and dealing with queries.

Skills and Experience

  • Previous experience in a similar administrative role is desirable.
  • Strong IT skills with proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
  • Excellent attention to detail, ensuring accuracy in all tasks.
  • Effective time management skills with the ability to prioritise and meet deadlines.
