About You

You’re an operations-focused problem solver who thrives in small, fast-scaling environments. You have a strong grasp of systems, workflows, and process design and you know how to make teams run smoothly, efficiently, and predictably.

You combine structure with initiative : you can see inefficiencies, design better processes, and ensure teams follow them consistently. You’re equally comfortable mapping workflows as you are leading people to accountability.

You’re not a passive executor, in fact you’re the person who ensures everything actually gets done.

Top 5 Objectives

Map, document, and structure all workflows (onboarding, marketing, content, chat, reporting).

Implement clear systems and SOPs in ClickUp to manage daily execution.

Align and train the team on operational discipline, accountability, and reporting cadence.

Maintain consistent KPI tracking and weekly reporting accuracy.

Optimize workflows and improve scalability while reducing CEO involvement.

Main Responsibilities

Design and document the company’s operational structure and standard procedures.

Collaborate with the dedicated ClickUp Builder to develop and optimize dashboards, automations, and reporting systems.

Train department leads (Chat, Marketing, Project Management) on systems usage and KPI reporting.

Monitor deliverables, ownership, and performance alignment across all departments.

Report weekly to founders with summaries on KPIs, execution bottlenecks, and improvement actions.

Continuously refine systems for speed, clarity, and scalability.

Requirements

2+ years of experience in operations, systems, or process management.

Experience in digital agency or startup environments managing small, high-performance teams.

Proven ability to design and implement scalable systems (ClickUp, Notion, or Monday).

Proficiency in KPI tracking, SOP rollout, and process optimization.

Strong communication and team leadership skills.

Based in Eastern Europe or South Africa.

Nice to Have

Experience in creator or influencer management.

Background in marketing, content operations, or team scaling.

Familiarity with reporting automation and cross-department collaboration tools.
