Job description

Duties & Responsibilities

  • Provide administrative support to Project Managers and Engineers throughout the project lifecycle.
  • Assist with project planning, scheduling, and coordination of activities.
  • Maintain accurate project documentation, including contracts, drawings, specifications, minutes of meetings, and progress reports.
  • Track project progress, deadlines, and deliverables to ensure timelines are met.
  • Prepare and update project status reports, presentations, and documentation for internal and client meetings.
  • Liaise with clients, contractors, suppliers, and stakeholders to coordinate project-related communication.
  • Monitor budgets, expenses, and procurement processes in line with company policies.
  • Assist with compliance to health, safety, and quality standards required in engineering projects.
  • Organize project-related travel, site visits, logistics, and meeting arrangements.
  • Support tender / bid preparation and submission processes.
  • Handle administrative tasks such as filing, correspondence, and database management.
  • Identify risks, bottlenecks, or delays and escalate issues to project managers.

Contribute to continuous improvement of project administration processes and systems

Qualifications & Requirements

  • Diploma or Degree in Project Management, Business Administration, or Engineering-related field (advantageous).
  • Minimum 2–4 years’ experience in project administration, preferably within an engineering, construction, or technical environment.
  • Strong knowledge of project management principles (exposure to PMBOK / PRINCE2 methodologies advantageous).
  • Excellent computer skills (MS Office Suite : Excel, Word, PowerPoint; MS Project or similar project management software).
  • Financial acumen – ability to track budgets, costs, and invoices.
  • Strong organizational and time-management skills with ability to handle multiple projects.
  • Excellent written and verbal communication skills.
  • Ability to liaise professionally with engineers, technical teams, and external stakeholders.
  • Detail-oriented, accurate, and process-driven.
  • Knowledge of health, safety, and environmental compliance standards (advantage).
