Overview

HubSpot Specialist (Short-Term Project) – Remote. Location : Remote. Work Hours : U.S. hours (flexible overlap). Type : Full-time Contract / Project-Based.

About The Role

Our client is seeking a HubSpot Specialist to rebuild and optimize their existing HubSpot instance — transforming it from a basic CRM into a fully functional, data-driven sales and reporting platform .

The ideal candidate is a HubSpot power user with experience in CRM architecture, reporting dashboards, and pipeline management. You’ll assess the current setup, identify gaps, and implement best-in-class solutions that improve usability, data accuracy, and team adoption.

This is a short-term infrastructure project with a high-impact objective : stand up a clean, efficient, and insightful HubSpot system that supports a growing sales team.

Key Objectives

  • Evaluate the current HubSpot setup, identifying inefficiencies in data structure, reporting, and pipeline configuration.
  • Design and implement a best-practice sales pipeline aligned with the client’s process.
  • Build custom dashboards and reports that eliminate manual Excel exports.
  • Streamline data fields, automation, and user workflows to improve adoption.
  • Develop team training materials and documentation to ensure smooth handoff and long-term use.

Core Responsibilities

  • Conduct a full audit of the existing HubSpot environment (fields, objects, permissions, reports, workflows).
  • Redesign and implement a standardized sales process with defined stage criteria and automation.
  • Create custom dashboards for sales, marketing, and leadership visibility (pipeline health, conversion rates, revenue forecasts).
  • Optimize data management by cleaning unnecessary custom fields and enforcing naming conventions.
  • Configure and automate workflows for lead assignment, notifications, and follow-ups.
  • Train users and develop documentation to increase adoption across departments.
  • Collaborate with leadership to ensure the system aligns with business goals.
  • Qualifications

  • 3+ years of hands-on experience with HubSpot CRM setup, optimization, and reporting.
  • Proven success designing HubSpot pipelines, dashboards, and automation for sales teams.
  • Deep understanding of HubSpot objects, custom fields, and data hygiene best practices.
  • Strong analytical mindset; comfortable translating business needs into system logic.
  • Excellent written and verbal communication skills for stakeholder training and documentation.
  • (Preferred) HubSpot Certifications in CRM Implementation, Sales Hub, or Reporting.
