Hours : 8 : 00 AM – 4 : 00 PM PST (Monday–Friday)

ABOUT THE ROLE
We’re seeking a highly organized, proactive Executive Assistant to provide direct support to a busy executive. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and confidently acts as a key point of contact for the business.
You will function as a trusted right hand — managing schedules, communication, and daily operations — while also helping improve systems, support clients, and keep projects moving forward. This is more than administrative support : you’ll help manage up , bring structure, and ensure smooth execution across the business.
KEY RESPONSIBILITIES
Executive & Operations Support
Serve as the executive’s “right hand,” managing schedules, priorities, and workflow
Manage and optimize the executive’s personal and professional calendar
Act as the primary receptionist, handling inbound calls and general inquiries
Proactively follow up with team members on task status and deadlines
Take meeting minutes and translate them into clear action plans
Create, document, and maintain SOPs (Standard Operating Procedures)
Prepare short presentations and internal documents
Assist with travel planning and logistics
Assist with purchasing products and managing related tasks
Provide general administrative and operational support as needed
Client & Team Support
Support client communication and enhance the overall client experience
Serve as a key point of contact for customers and internal teams
Coordinate between the executive and team to ensure accountability and clarity
Marketing & Creative Support
Assist with web copy and light design tasks
Support digital marketing efforts, including :
Instagram Reels
Facebook copy
Email marketing
Assist with digital course support (marketing, content creation, organization)
Graphic design support is a plus
REQUIRED HARD SKILLS
Proficiency with Microsoft Office and Google Workspace
Excellent written and verbal English communication
Strong organizational and task-management skills
Familiarity with tools such as Wix, Trello, Zoho CRM (preferred)
Familiarity with the cabinet or millwork industry is a plus, but not required
