Cornwall Hill College is a co-educational independent school in Irene, Centurion. We are seeking a Personal Assistant (PA) to the Rector and Board. This pivotal role provides comprehensive, high-level administrative and secretarial support to both the Rector (Executive Head of School) and the Board of Directors. The ideal candidate is a self-starter who thrives in a fast-paced environment, maintains strict confidentiality, and possesses exceptional communication and organizational skills. Key Responsibilities
Support for the Rector (Executive Head of School)
- Administrative Management : Provide proactive and comprehensive secretarial and administrative support, including managing a complex and dynamic calendar, scheduling meetings (internal and external), and prioritising conflicting demands.
- Communication Hub : Screen and manage all incoming communications (emails, calls, correspondence) for the Rector, drafting professional and accurate responses on their behalf where appropriate.
- Document Preparation : Prepare, proofread, and format confidential reports, presentations, speeches, and official correspondence for the Rector.
- Event Coordination : Manage logistical arrangements for key school events, donor meetings, community engagements, and internal staff meetings involving the Rector’s office.
Support for the School Board of Directors
Meeting Management : Coordinate the annual schedule of Board and Sub-Committee meetings. Prepare, distribute, and track all meeting materials (agendas, reports, minutes) in a timely manner.Minutes and Records : Ensure all Board and subcommittee documentations records and documentation are maintained, archived, and secured in compliance with governance requirements.Liaison and Communication : Act as the primary point of contact and liaison for Board members, Committee Chairs, and external stakeholders regarding Board matters. Manage and respond to confidential Board correspondence.Governance Support : Maintain the Board’s calendar, track action items, and follow up on decisions to ensure timely execution. Assist with Board orientation, training, and annual performance review processes. Ensure Board procedures and decisions adhere to the school’s statutes, bylaws, and relevant regulatory requirements.Support for the Campus Communications
Serve as the primary administrator of the main school communications email inbox ( ).Content Creation and Dissemination
Assist in proofreading and editing communication materials before they are sent out.Update key information on the school website as needed, such as event details or contact information.Relationship Management
Act as a professional ambassador for the school in all written communications.Develop and maintain positive relationships with all members of the school community through effective communication.Identify recurring communication issues or themes from the email inbox and provide feedback to leadership to improve school processes.Confidentiality
Handle highly sensitive information, personnel matters, and institutional strategies with the utmost discretion and professionalism.Required Qualifications and Skills
Education : A Bachelor’s degree is preferred, or an equivalent combination of education and experience.Experience : A minimum of 5 years of experience supporting C-suite executives, a Board of Directors, or senior leadership in an educational or non-profit environment.Minutes & Governance : Proven excellence in taking accurate, concise, and professional meeting minutes for a governing body. Familiarity with basic governance principles is highly desirable.Technical Proficiency : Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with digital Board management portals (e.g., BoardEffect , Diligent) or similar secure document management systems.Organizational Mastery : Exceptional organizational and time management skills, with a demonstrated ability to prioritize tasks, meet tight deadlines, and manage multiple projects simultaneously.Communication : Outstanding written and verbal communication skills, with a professional and diplomatic demeanor.Personal Attributes
