Key Output

  • Tmanage all administrative related tasks in the allocated region regarding the life cycle of an employee and tassist in resolving queries related tbenefits, payroll and Human Capital policies
  • Assist and resolve basic Human Capital and Payroll related queries received from employees or other sources e.g. leave, UIF, medical aid, funeral fund, One Barloworld Fund.
  • Workforce Plan Management for the allocated region – support in creating jobs, abolishing jobs tensure that the workforce plan is always a reflection of the approved and budgeted structure in the region / country.
  • Manage the recruitment of a new employee
  • Distribute and management of Starter pack documentation
  • Follow up on the timeously submission of the documents tmeet payroll cut-off
  • Ensure that the MIE and KROLL checks are filed on the employee file for completeness of employee files, where audited and found tbe missing, follow up with Recruitment team tensure that the documents are filed.
  • Schedule induction / onboarding sessions (where required), medicals (where applicable), email addresses and ensure that the required documentation is submitted tIT asap for the processing and initiating the processes where computers and other IT requirements are processed for new engagements.
  • Create an employee folder on the HCM Drive
  • Index the documents as received properly, current and older files within span of control of the Contact Centre.
  • Upload the following documents on Payspace once the employee profiles reflect on PaySpace and perform quality checking and validations through the entire process.

  • Fund Information
  • Tax Information
  • Payspace documents
  • Manage the termination process
  • Distribute and management of termination pack
  • Follow up on the timeously submission of the documents tmeet payroll cut-off
  • Monthly HCBP / Operational Managers Reporting tbe sent by latest three working days prior tthe end of the month
  • Master Data validation and checks (keep track of what is sent out, provide date by which feedback should be sent back for updating of system as and where required. - Tracker tshow whis providing feedback and where are the feedback not received.
  • Vacancy validation and checks
  • Overtime
  • Leave
  • Issue Maternity leave contracts where required, timeously and follow up tensure maternity contracts are signed and finalized before employee goes on maternity leave.
  • Issue letters for reporting line changes or lateral movement letters temployees where applicable
  • Conduct employment confirmation
  • Assist with following up of required forms tbe completed on Payspace e.g., funeral forms, travel calculators, Beneficiary Forms, DOI - Cura etc and ensure that all the quality controls have been executed before submission tPaySpace via the cloud or any other vendor receiving documentation
