We are seeking a highly motivated, strategic, and proactive Executive Strategy & Research Partner to serve as the right hand to a busy executive. Key Responsibilities
Strategic Research & Relationship Management (40%)
- Thought Partnership & Meeting Preparation : Act as a research engine for the executive's network. Thoroughly research individuals and organizations ahead of key meetings, summarizing relevant news, recent activities, and potential connection points.
- Relationship Mapping : Develop and maintain a comprehensive system to map and connect key contacts, industry targets, and opportunities. Proactively identify and research high-value targets based on executive direction.
- Database Management (CRM) : Own the organization and integrity of the contact database. Systematically catalogue contacts, update records, and tag relationships. Manage the weekly pipeline and lead follow-up process, including scheduling next steps and assisting with necessary research.
- Property & Contact Research (Ad-Hoc) : Conduct targeted research on properties, contact availability, floorplans, and other ad-hoc requests as needed for executive projects (e.g., Airbnb ventures).
Content, Branding & Marketing Execution (30%)
Content Creation & Social Media Management : Manage the executive’s social media and email content calendars. Develop drafts of content, thought pieces, and social posts, leveraging AI tools and direction.Email Marketing Campaigns : Oversee the entire email marketing process from content development to reporting. Draft monthly content blasts, manage the calendar, and identify target lead lists.Reporting & Follow-up : Produce regular reports on email engagement and execute targeted follow-up messages through the CRM to prioritize engaged parties.Branding & Design Coordination : Liaise with third‑party marketing and design teams for presentation templates, flyers, and event branding.Presentation Development : Assist with the creation of presentations by hunting necessary research, organizing content, and coordinating with design resources.Event Planning & Social Calendar Management (20%)
Annual & Strategic Event Planning : Develop and manage an annual event calendar aligned with strategic targets.End-to-End Event Logistics : Own the event process, including sourcing locations, negotiating contracts, managing RSVPs, creating protocols, and coordinating day‑of logistics.Social & Dinner Calendar : Manage professional and personal / social calendars, organizing dinner parties, coordinating social invitations, and working with the executive’s spouse on shared events.Executive & Administrative Support (10%)
Email Management : Filter and prioritize the executive’s inbox, ensuring follow-up tasks are scheduled.Proactive Personal Task Management : Source service providers, contest parking tickets, and research personal finance items.Birthday & Relationship Maintenance : Track key contacts’ birthdays one month in advance and coordinate appropriate actions.Qualifications
3+ years of experience in an Executive Assistant, Research, Project Coordinator, or similar high‑touch administrative role.Proven Initiative and Problem‑Solving : History of autonomous ownership and proactive solutions.Strategic Mindset : Ability to connect dots and think ahead of the executive.Excellent Written and Verbal Communication : Proficient in drafting professional correspondence, meeting notes, and creative content.Technical Fluency : Proficient in CRM platforms, Microsoft Office Suite, calendar management tools, email marketing tools (e.g., Mailchimp), and AI content tools.What Makes This Role Exciting
