Function Pharmacy Facility Position Pharmacy Stock Controller | Surgical Stores Introduction
A vacancy exists for a Pharmacy Stock Controller, based at Life Bedford Gardens Hospital reporting to the Senior Stock Controller, Michael Dekiewit. The successful candidate will contribute to the effective functioning and co-ordination of stock in pharmacy.
Critical Outputs
- Capture all surgical invoices, address supplier/vendor queries and process credits daily, as per SOP’s and stock control.
- Ensure GRV book is utilized and checked daily to ensure all invoices are captured.
- Ensure invoices, purchase orders and receipts are collated and signed daily.
- Ensure outstanding invoices are investigated, actioned and reported on monthly and as required.
- Check and action Unrecorded Liabilities, GRIR and MIR6 reports daily and as required.
- Follow up with suppliers on credit notes and/or invoices not received, outstanding orders.
- Action emails from FSC (Financial Services Centre).
- Management of Purchase price comparison report daily and escalation of price queries to Procurement.
- Manage all orders, receipts, transfers and external procurement processes for Renal, Theatre and all wards.
- Provide backup assistance for the Theatre Stock coordinator, including the management of all consignment and loan stock billing, orders and closing of files.
- Assist with all Inter Hospital sales and orders, plus excess stock advertising and procuring.
- Management of negative stock and item valuation reports.
- Drive dead stock and overstock reduction initiatives.
- Management of MRP levels (min/max/reorder levels) for all wards and Pharmacy Stores.
- Procurement of formulary stock and initiatives to convert stakeholders to formulary usage.
- Assisting all units with stock-related queries.
- Reporting of any stock-related issues and action plans to mitigate issues experienced.
- Assist with cycle counts (ethical and surgical) and stock takes, as well as the capturing of stock takes and the investigating of stock variances.
- Assist with all stock control processes and reporting, including bin maintenance.
- Conducting clerical duties or any other task as allocated by the Pharmacy Manager.
- Ensuring stationery and documentation orders for Pharmacy are placed weekly.
- Ensure proper filing and archiving of documents for easy retrieval and audit purposes.
- Ensure quality client service.
Requirements
- Grade 12
- Computer literacy and proficiency in Microsoft Office (Excel, PowerPoint, and Word) is essential.
- Hospital experience and knowledge of systems (SAP) as well as hospital stock control experience would be an advantage.
- A person who is results orientated, pays attention to detail, has excellent interpersonal as well as excellent communication skills.
- Customer focus, a commitment towards continuous improvement, the ability to work independently and the management of time is required.
- Must be able to work under pressure in a continuously changing environment.
- Willingness to work overtime, after hours and weekends as needed.
