Role Overview

We are seeking a detail-oriented and proactive Legal Assistant to support our attorneys in managing cases and ensuring smooth operations. This role involves handling case documentation, scheduling, drafting legal documents, and coordinating with clients, courts, and vendors. The ideal candidate is organized, tech-savvy, and capable of managing multiple priorities in a fast-paced legal environment.

Schedule

Monday to Friday from 8 : 30 AM to 5 : 30 PM CST (USA)

Your Responsibilities Will Include but Are Not Limited To :

  • Maintaining status reports and updating the case management system regularly
  • Preparing settlement documents, retainer agreements, and authorization forms
  • Engaging with bookkeeping services and vendors for invoice and fee payments
  • Preparing and sending document productions, and reviewing document productions from other parties
  • Coordinating service of process and ensuring compliance with judges’ standing orders
  • Managing attorney calendars and scheduling depositions, meetings, and calls
  • Preparing trial notebooks, deposition exhibits, and motion exhibits
  • Taking initiative to solve problems and improve processes
  • Communicating with clients, opposing counsel, court personnel, and other stakeholders
  • Creating templates, processes, and document automation tools
  • Drafting initial pleadings, motions, briefs, discovery requests / responses, and correspondence
  • Documenting and organizing all incoming and outgoing emails in the case management system
  • Maintaining accurate case files and ensuring timely filing of motions, briefs, and status reports

What We’re Looking For :

  • At least one to two years of experience in similar roles
  • Previous experience with law firms is required
  • Self-managed and self-directed
  • Organized
  • Calm under pressure
  • Work well as part of a team
  • Windows PC User (MAC is not compatible with our systems)
  • Reliable computer setup (laptop / PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
