Job Purpose

To lead the HR Administration function within HR Shared Services, ensuring smooth, compliant, and timely service delivery of employee onboarding, offboarding, and administrative support. This includes direct supervision of HR administrators and driving continuous process improvements aligned with service-level agreements. This role also plays a critical role in the transition toward a formal HR Shared Services environment. The successful candidate will actively support the Head of HR Shared Services in designing, building, and embedding new workflows, systems, and service standards. They will be instrumental in operationalising shared services by refining processes, improving efficiency, and ensuring consistent delivery across functions as part of this strategic transformation.

Key Responsibilities

Team Leadership

  • Lead a team of HR administrators in delivering seamless HR lifecycle services.
  • Manage service workloads and SLA compliance with our customers.
  • Report on team performance, escalations, and improvements.
  • Champion paperless onboarding, automation, and service innovation.

Employee Lifecycle Administration

  • Manage and execute onboarding and offboarding administration across the employee lifecycle, with hands-on involvement in processing and system data entry.
  • Oversee accurate employee records (SAP), benefits processing, and exit formalities, ensuring all onboarding activities are completed in line with compliance and data integrity standards.O
  • Support benefit transitions for movements (temp → perm, internal moves)
  • Monitor and update onboarding trackers, resolve discrepancies, and drive continuous improvement in onboarding service delivery.
  • Support Services And Projects

  • Serve as SharePoint administrator for HR administration content and onboarding sites, ensuring content is current, compliant, and user-friendly.
  • Provide specialist HR support and advice to employees and line explaining company policies and procedures in a timely and effective manner.
  • Act as a systems champion for HR administration-related technology implementations, including onboarding platforms, electronic forms, digital document workflows, and self-service tools.
  • Provide training and support to the HR administration team and stakeholders on the effective use of HR admin systems and onboarding technologies.
  • Serve as SharePoint admin for onboarding sites and HR admin content.
  • Qualifications And Experience

  • 3-year qualification in Human Resources or equivalent.
  • Minimum of 3 years of experience in HR administration systems & processes (SAP, SharePoint (EDMS) or equivalent preferred), with at least 1 years of experience in managing people.
  • Skills And Competencies

  • Strong interpersonal skills and experience engaging all levels of employees.
  • Experience in meeting tight deadlines in a high-pressure environment.
