Main purpose of the position
Currently we are looking for a Senior Document and Information Manager in Cape Town, South Africa to be part of our global team working together towards our vision – Improving our future. As our Senior Document Control Manager, you will be responsible to secure that project and non-project related Documents and information are handled in accordance with our internal procedures and contract requirements and implemented in an efficient and uniform way across all global projects.
Manage the Global Document Management Department and system in compliance with above.
Main responsibilities
- Overall responsibility to develop, improve and ensure compliance with Project Document Management Procedures and deliverables
- Ensure sufficient management of Non-Project Related information (documents, data, models, and records) into DMS / ECM, including monitoring and follow up of expiry and validity
- Manage the Document Control Department, including the employees, ensure proper staffing and that projects are sufficiently manned
- Ensure all projects are in control of information and documentation across 1D, 2D, 3D, and data formats, and manage change in a robust way and reporting of document status of projects
- Ensure project documentation and information (TTO Package) is handed over to the Operations and Maintenance team
- Overall responsibility to update training material (including gamified training) and ensure new employees are sufficiently trained in Document Management (both projects and Governing Documents).
- Responsibility to maintain and update the Document Management / Enterprise Content Management system as required – propose solutions and facilitate, interfacing with the IT department and other parts of Scatec for the continuous improvement of processes
- Lead the SME team in feasibility, assessment and implementation of DMS or ECM systems
- Ensure compliance and support corporate activities related to ISO certification, data governance, and information quality standards
Qualifications and competencies
Degree in Administration or Civil / Mechanical / Electrical EngineeringProject Management qualification advantageous7+ years Document Control experience, preferably on EPC / Construction projects2+ years Managing a team5+ years management of renewable energy projectsProven experience working with, the life cycle of all documents on a project from start to finish and architectural structure of the DMS flow processBasic understanding of ISO9001 requirementsFluent both written and spoken in English and French advantageousAbility to do training on document management system, processes and procedure with all stakeholdersDemonstrate understanding in document mapping between Procedures and Project needsPersonal characteristics
