Quote Coordinator / Executive Assistant (Remote South Africa) -

Location : Remote (UK Hours)

Reports to : CEO / Founder

Company Overview

Our client provides comprehensive building compliance services — covering everything from the requirements needed for planning permission to the as-built reports required at the completion stage.

Key Responsibilities

Quote Coordination

  • Prepare, issue, and track quotations for compliance services (e.g. fire safety, electrical testing, asbestos, health & safety inspections, etc.)
  • Liaise with clients to clarify requirements and specifications.
  • Maintain up-to-date pricing templates and service descriptions.
  • Follow up on outstanding quotes and record outcomes.
  • Liaise with operations and technical teams to ensure accurate scope and costings.

Executive Assistance

  • Provide daily administrative and scheduling support to the Managing Director and management team.
  • Manage calendars, appointments, and travel arrangements.
  • Prepare reports, meeting agendas, and minutes.
  • Handle correspondence, email management, and document filing.
  • General Administration

  • Maintain CRM and project management systems with accurate client and quote data.
  • Assist in preparing proposals, tender submissions, and compliance documentation.
  • Support onboarding of new clients or projects by coordinating required information.
  • Manage document control and assist with internal compliance procedures.
  • Skills & Experience

  • Proven administrative or coordination experience, ideally within construction, compliance, or a technical services environment.
  • Strong attention to detail and accuracy in written communication.
  • Excellent organisational and multitasking abilities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and CRM systems.
  • Confident communicator with clients and internal teams.
  • Ability to work independently and manage priorities effectively.
  • Qualifications

  • GCSEs (including English and Maths) essential; A-Level or equivalent desirable.
  • Administrative or business qualification advantageous but not necessary.
  • Construction or compliance-related training / certifications (e.g. SMSTS, IOSH, or similar) desirable but not essential.
