Role Summary

We are seeking a highly organized, empathetic, and detail-oriented Intake Specialist to serve as the first point of contact for new client families. This role is ideal for someone who thrives in a fast-paced, people-centered environment and is passionate about helping families access quality care for their children with Autism.

You will play a key role in coordinating new client intakes, managing documentation, and ensuring a seamless onboarding experience for families. Prior experience in healthcare, behavioral health, or administrative intake processes is highly valued.

Responsibilities

  • Serve as the main point of contact for new client inquiries and referrals
  • Gather and verify client information, insurance details, and documentation
  • Schedule assessments, evaluations, and initial consultations
  • Coordinate with the Clinical Director, therapists, and administrative team to ensure smooth onboarding
  • Maintain accurate client records in compliance with HIPAA and internal policies
  • Communicate professionally and compassionately with families to guide them through the intake process
  • Track and follow up on pending documentation, authorizations, or scheduling needs
  • Support cross-department communication to ensure timely case activation

Requirements

  • 2+ years of experience in intake coordination, client services, or healthcare administration
  • Excellent communication and interpersonal skills, with a compassionate and professional demeanor
  • Strong attention to detail and organizational skills
  • Comfortable handling sensitive and confidential information
  • Ability to work independently during the 3 PM 11 PM shift
  • Proficient in Google Workspace, Zoom, and CRM or EMR systems
  • Reliable internet connection and personal computer
  • Preferred Qualifications

  • Experience working in ABA therapy, behavioral health, or healthcare intake
  • Familiarity with insurance verification and medical documentation
  • Prior remote work experience in a clinical or administrative support setting
