Administrative Assistant – Mindplace

Permanent, full time, 37.5 hours per week – Monday to Friday shifts between 8am and 10pm and Saturday 9am to 5pm.
£26,800 per annum plus excellent benefits.
Overview
Bupa is creating dedicated spaces with expert face‑to‑face support, grounded in nearly 80 years of trusted Bupa care. As an employee, the focus is on patients and delivering outstanding service daily.
Responsibilities
- Greeting and welcoming customers and supporting the customer journey through to checkout.
- Answering, screening and forwarding incoming customer queries via phone and managing local mailbox and emails.
- Proactively maintaining a well‑presented reception and waiting area.
- Ensuring customer reports are dispatched on time, including effective management of abnormal results.
- Providing correct paperwork for visits – appointment packs, clinical file preparation and consent forms.
- Effective results management – receiving, scanning, uploading and follow‑up of suppliers to meet agreed SLAs.
- Booking appointments, rescheduling and processing payments, invoices, added charges and credit notes in EXACT / BOSS / Meddbase.
- Organising documents in date order and prioritising to meet deadlines.
- Assisting in bookings of mammograms and MSK referrals where delivered at the centre.
- Collecting, opening, lettering, date‑stamping and distributing incoming post and processing outgoing post.
- Generating letters as required by the business.
- Monitoring stocks and ordering goods when required.
- Processing invoices / delivery notes as per Bupa policy.
- Playing an active part in ensuring well‑presented facilities through pro‑activity and effective escalation as required.
