Overview

We are seeking a highly organized and detail-oriented Part-Time Virtual Assistant to support our e-commerce operations. The ideal candidate will have hands-on experience with Shopify, Stripe, QuickBooks Online (QBO), AI tools, and Canva, with strong skills in inventory management, order processing, and customer service. This role requires excellent communication, problem-solving, and the ability to manage multiple priorities in a fast-paced environment.

Important : Candidates must be available to work part-time and align their schedule with Chinese time zones to effectively coordinate with our suppliers and production teams.

Key Responsibilities

Inventory Management & Reporting

  • Conduct weekly inventory reviews.
  • Generate and analyze reports to track stock levels.
  • Alert management when inventory is running low.
  • Prepare purchase orders (POs) for review based on inventory needs.

Production & Supplier Coordination

  • Assist with design tasks and creative projects using Canva and AI tools.
  • Support production management and supplier communication in China.

    • E-Commerce Operations

  • Manage website customer service inquiries via Shopify.
  • Handle wholesale customer service requests and maintain strong client relationships.
  • Monitor warehouse operations to ensure packages are dispatched on time.

    • Financial Support

  • Manage invoicing and billing for wholesale clients through QBO.
  • Process payments and ensure transactions are properly tracked in Stripe and QuickBooks.

    • Qualifications

  • Proven experience as a Virtual Assistant or similar role in an e-commerce environment.
  • Proficiency with Shopify, Stripe, QuickBooks Online (QBO), Canva, and AI tools.
  • Strong understanding of inventory management and purchase order processes.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage time effectively, and meet deadlines.
  • Experience coordinating with overseas suppliers, especially in China, is a plus.

  • Strong organizational and multitasking abilities.
  • Customer-first mindset with excellent problem-solving skills.
  • Basic design and creative skills for branding and marketing support.
  • Familiarity with wholesale account management.
