Position Summary : The Architect of Operational Excellence
The Operations Manager will own the entire operational workflow for our two primary medical ventures. The core mission of this role is to ensure our companies run with maximum efficiency, unwavering compliance, and impeccable service delivery. This individual will be directly responsible for managing, maintaining, and strategically improving the systems that support our students, clients, and physician partners, thereby fortifying the operational bedrock of the entire organization.
This position represents a fundamental shift from process execution to process ownership. The mandate is not simply to follow established procedures but to critically evaluate, re-engineer, and perfect them. Operating with a high degree of autonomy, the Operations Manager will serve as the key operational leader, ensuring that as the companies scale, the quality of our delivery and the integrity of our compliance framework only strengthen.
Reporting directly to senior leadership, this position is central to our strategy, carrying with it the trust and authority to make significant, impactful changes to how our business functions.
Detailed Areas of Responsibility
The Operations Manager will have a broad and impactful remit, with clearly defined
responsibilities across both business units and overarching systems architecture.
Domain 1 : Student & Advisor Lifecycle Management
for our Airtable CRM. This includes ensuring 100% data integrity for all student
and lead information and developing data governance protocols to maintain a
single source of truth.
advisor re-matching workflow. This encompasses drafting targeted email
communications, executing precise CRM updates, and managing the end-to-end
process to ensure a seamless experience.
general student and advisor email inquiries, providing timely and professional
responses that uphold the premium brand image of the company.
Domain 2 : Client & Healthcare Compliance Operations
lifecycle for new B2B client collaborations. This is a high-stakes project
management function, from secure legal agreement transmission to final system
integration.
healthcare compliance initiatives. This involves developing and maintaining a
robust framework to mitigate risk and ensure full adherence to all relevant state
and federal regulations, a critical function that protects the business and its
partners.
partner, MedLicense, to manage the physician license renewal process across all
50 states, implementing a proactive tracking system to ensure zero lapses.
for Continuing Medical Education (CME) credit submission and the management
of critical partner documentation (e.g., for Zivian, SkinClique), ensuring all
deadlines are met and records are impeccably maintained.
research to determine the CPOM status of potential client leads, providing clear,
actionable guidance to leadership and sales on operational limitations in
regulated states.
Domain 3 : Systems & Process Architecture
existing operational workflows to identify bottlenecks and inefficiencies. Leverage
data and stakeholder feedback to design and champion superior future-state
processes.
implementation of new, automated systems using no-code / low-code tools (e.g.,
Zapier, Make) to dramatically increase efficiency and reduce manual effort.
operational document repository, including all contracts, compliance checklists,
and Standard Operating Procedures (SOPs). Ensure all documentation is
meticulously organized, version-controlled, and accessible to create a scalable
knowledge base.
Minimum Requirements :
Language requirement : Excellent English Communication Skills
Education : Bachelor's Degree (ideally)
Experience : 3+ years of related experience

Foundational Experience & Technical Proficiency (Must-Haves)
experience in an operations management role, with a proven track record of
building, managing, and systematically improving operational processes.
Airtable is mandatory. This includes building and structuring bases, creating
multi-step automations, managing complex data relationships, and developing
interfaces. Candidates without this specific expertise will not be considered.
no-code / low-code automation tools (e.g., Zapier, Make) and modern project
management software.
with the ability to analyze operational data to identify root causes and generate
meaningful, actionable insights.
Desirable Expertise & Background (Nice-to-Haves)
