Logistics & Dispatch Supervisor Job Specification

Key Responsibilities
1. Local Dispatch Operations
- Plan, review, and optimise local delivery routes to ensure cost-effective and efficient distribution.
- Perform daily loadmaster functions to ensure correct load planning and dispatch readiness.
- Issue sales orders for picking and ensure orders are picked in full, accurately, and on time.
- Verify picked stock against invoices before loading to prevent shortages and incorrect deliveries.
- Supervise loading of stock onto pallets, trucks, bakkies, or cages, ensuring loads are clean, secure, correct, and protected from damage.
- Conduct final dispatch checks to confirm correct products and quantities are loaded.
- Ensure all vehicles dispatch on time and without operational delays.
- Provide complete route documentation for invoicing and route sheet preparation.
- Assist with walk-in or collection customers when required.
- Receive, check, and accurately record all returns and re-deliveries from the fleet.
2. Bulk Dispatch Operations
- Issue bulk picking slips and ensure correct and timely preparation of stock.
- Use internal systems or handheld devices to verify stock before palletising and dispatch.
- Ensure pallets are packed correctly, stable, clean, and secured for transport.
- Confirm correct loading onto vehicles and dispatch in line with delivery schedules.
- Complete transporter documentation accurately and ensure transport costs are properly authorised.
3. Delivery Performance & Customer Support
- Monitor delivery performance to ensure customer orders are delivered on time and in full.
- Assist the Sales team with customer delivery queries and resolution support.
- Conduct daily checks on back orders to confirm availability and expedite deliveries.
- Assist in monitoring driver performance and compliance with company policies.
4. Stock Control, Loss Prevention & Warehouse Readiness
- Perform stock checks to prevent stock shortages and unnecessary credit notes.
- Conduct warehouse counts and ensure stock readiness to support dispatch operations.
- Investigate shortages, loading errors, or discrepancies using operational checks and available systems.
- Implement corrective and preventative actions to reduce stock losses and dispatch errors.
- Drive stock control and loss prevention routines within the branch or warehouse.
- Assist in analysing daily control reports and recording actions required to improve results.
5. Team Supervision & Time Management
- Supervise pickers and warehouse staff to ensure operational standards are met.
- Monitor logistics team performance and ensure compliance with operational procedures.
- Assist the Logistics Manager in managing overtime and verifying logistics timesheets.
- Promote staff accountability and ensure consistent execution of processes.
6. Fleet, Fuel & Compliance Management
- Assist the Logistics Manager in maintaining fleet condition and ensuring vehicles are serviced and repaired as required.
- Monitor fuel usage and ensure compliance with company policies and budgets.
- Ensure adherence to internal procedures, safety standards, and audit requirements.
7. Housekeeping & Site Presentation
- Maintain high housekeeping standards in logistics areas including yard, loading zones, parking areas, and surrounding operational spaces.
8. Safety Leadership
- Enforce warehouse and transport safety protocols.
- Conduct toolbox talks and promote safe handling of goods and equipment.
- Ensure staff comply with workplace health and safety procedures.
Minimum Requirements
- Matric (Grade 12).
- Minimum 4 years experience in a similar roleinvolving logistics, dispatch, fleet management, warehousing, stock control, and staff supervision.
- A tertiary qualification in Operations, Supply Chain, or Logistics Managementwill be advantageous.
- Strong computer literacy including Excel, Outlook, and Microsoft Word. Experience with warehouse or ERP systems is advantageous.
