Therole includes processing transactions, maintaining financial records, preparing reports, and ensuringcompliance with donor and organizational financial policies. The Finance Officer works closely withprogram and finance staff and reports to the Deputy Finance Manager : Global FundKey ResponsibilitiesFinancial Transactions & Processing
- Prepare and process payment vouchers, ensuring proper supporting documentation andapprovals.
- Record transactions in the accounting system (e.g., Pastel Evolution).
- Support monthly closing processes by preparing journal entries and reconciliations.Bank & Cash Management
- Assist in preparing monthly bank reconciliations.
- Monitor project bank and cash balances and ensure timely replenishment.
- Support the preparation of payment instructions and submission to the bank.Documentation & Filing
- Maintain well-organized and up-to-date financial files (physical and electronic).
- Ensure compliance with donor requirements on documentation retention and audit trails.Compliance & Controls
- Ensure that transactions are compliant with Global Fund and organizational policies.
- Support implementation of internal controls and flag any compliance gaps to the Accountant.
- Assist in the review of financial documents received from sub-recipients (SRs).Reporting & Budget Monitoring
- Assist in preparing periodic financial reports for submission to the Global Fund.
- Track expenditures against budget and flag variances to the Accountant.
- Prepare supporting schedules for financial reports as required.Fixed Assets management
- Maintain and update the fixed asset register with complete details (e.g., purchase date, cost,location, user).
- Tag all assets are and properly recorded in both the register and accounting system.
- Track and reconcile assets with the general ledger and physical inventory.
- Support audits and physical verifications, addressing any discrepancies.
- Ensure compliance with Global Fund policies on asset use, safeguarding, and reporting.
- Report asset-related information in financial reports and respond to donor inquiriesAudit Support
- Support the Accountant in preparing for internal and external audits.
- Retrieve supporting documents and respond to audit queries.VAT & Taxation
- Assist in preparation of VAT claims and PAYE schedules.
- Ensure timely submission of statutory payments under guidance from the Accountant.Qualifications and Experience
- Diploma in Accounting, Finance, or a related field – Degree would be an added advantage.
- At least 2–3 years of experience in a similar finance role, preferably in donor-funded projects.
- Knowledge of Global Fund financial management guidelines.
- Proficiency in accounting software (e.g. Pastel Evolution).
- Strong Excel skills and attention to detail.Competencies
