We are looking for AFM Coordinator M / F based in South Africa .

The purpose of this position is to provide accurate and reliable administrative support to the Maintenance Manager. The role involves analyzing, controlling, and supervising all aspects of administrative policies and practices, implementing actions aligned with company strategic objectives, and maximizing efficiency by supervising the Aftermarket Admin personnel to ensure departmental targets and operational requirements are met.

The overall responsibility includes ensuring that administrative tasks related to the financial aspects of the Aftermarket department’s operations are completed correctly and promptly :

  • Work In Progress (WIP) : Monitor and manage the team efforts in closing jobs, ensuring WIP remains within acceptable parameters. Check for overdue jobs, assist in resolving issues, review and develop processes related to WIP, and ensure data accuracy in WIP and invoicing.
  • Debtors : Serve as the primary contact for the debtor’s department, handle queries, and coordinate with relevant personnel to ensure timely follow-up and feedback.
  • Creditors : Assist in managing creditors in line with company policy, verify reconciliations, follow up on outstanding invoices, and ensure proper processing for payments.
  • Labour Recovery : Monitor labour sales per technician, ensure data is captured daily, and maintain accurate records.
  • Contract Analysis : Identify loss-making contracts, escalate issues such as overtime work not invoiced, and work with managers to address these.
  • Warranty Claims : Ensure warranty processes are accurate and timely, track recoveries, and coordinate with product support engineers.

Ensure all administrative functions are effectively implemented, including preparing and distributing reports (monthly, weekly, daily, ad-hoc), liaising with IT for report creation, coordinating product field campaigns, and handling customer contact schedules for CSI follow-up. Facilitate customer complaints and queries, maintain high service standards, and promote effective inter-departmental communication.

Required skills include working knowledge of Kerridge system, report writing, error correction, strong analytical and numerical abilities, advanced MS Office skills, excellent communication, proactive attitude, organizational skills, and professionalism in customer interactions. Ability to prioritize, multitask, work under pressure, and contribute effectively to the team is essential.
