Job Purpose
This role is responsible for supporting initiatives that enhance the university's reputation and brand visibility by coordinating marketing and communication activities in line with the university's strategic objectives.
Responsibilities
- Effective event planning to ensure successful extraction of benefits for the event.
- Defining the event's purpose, target audience, and desired outcomes.
- Setting timelines, choosing formats (in-person, virtual, hybrid), and selecting themes.
- Creating a project plan guiding execution of all activities.
- Allocating financial resources, negotiating with vendors, ensuring cost-effectiveness while maintaining quality.
- Working within the allocated budget and ensuring adherence to budget utilisation processes.
- Planning, managing, executing and evaluating UJ's planned and ad-hoc corporate events.
- Ensuring UJ's compliance with legislation and statutes (e.g., Disaster Management).
- Staying abreast of trends and environmental developments relating to events management.
- Managing venues, transportation, catering, equipment setup, and staffing needs.
- Pre-inspection and on-site management.
- Providing guidance to UJ Faculties, Departments on processes and procedures of events management in line with the SOP.
- Managing and building relations with internal clients, stakeholders and suppliers.
- Consulting with relevant stakeholders related to the event.
- Offering advice to Procurement on the best possible ways to obtain relevant suppliers.
- Advising relevant departments on how to promote the event within the limits of the initial brief.
- Offering advice on potential risks and working with the risks team to develop contingency plans for smooth implementation.
- Assessing the event's success through feedback, ROI analysis, and post-event reporting.
Minimum Requirements
Relevant Bachelors' degree (NQF 7) in Administration / Hospitality / Event Management and / or Project Management.Two to three years' experience in Marketing / Brand / Event and Project Management roles.Familiarity with issues relating to event and project management in the marketing environment.Competencies and Behavioural Attributes
Excellent written and verbal communication.High proficiency in MS Office and design collaboration tools.Creativity, innovation, and attention to detail.Planning and organizational skills.Relationship-building and stakeholder management.Understanding of event management trends.Recommendations
Qualification in Event / Hospitality Management and / or Project Management and demonstration of previous experience.Application Process
