The Job

Key Responsibilities

Client Billing & Cash Flow :

  • Issue and reconcile weekly client invoices to cover payroll and expenses.
  • Actively follow up on overdue accounts to protect cash flow.
  • Bank Reconciliation & Expense Oversight :

  • Reconcile all bank transactions accurately.
  • Implement automated tools to replace manual spreadsheets and reduce errors.
  • Payroll Management :

  • Oversee weekly payroll for Virtual Assistants and any ad hoc staff payments.
  • Coordinate with external platforms (e.g., Remitly, WISE, Payoneer) to ensure timely payments.
  • Commission & Bonus Tracking :

  • Create and maintain a reliable system for tracking and paying referral / bonus commissions.
  • Ensure team payments are never delayed.
  • Process Innovation & Automation :

  • Collaborate with the Monday.com Automation Specialist to document and streamline finance workflows.
  • Drive proactive solutions that prevent issues before they escalate.
  • Cross-Department Collaboration :

  • Work with HR, Sales, and Operations to align financial processes with company needs.
  • Provide clear, timely financial reports to leadership.
  • Expense & Subscription Management :

  • Review recurring charges to eliminate wasteful spending.
  • Resolve personal vs. business account conflicts, ensuring funds are properly allocated.
  • The Profile

    Qualifications :

  • Experience : At least 5 years in finance with a focus on process improvement, payroll, invoicing, and cash flow management.
  • Technical Skills : Proficiency with Google Sheets; experience with Monday.com, WISE, or Payoneer is a plus.
  • Analytical & Detail-Oriented : Proven ability to reconcile complex transactions and streamline processes.
  • Strong Communication : Ability to work effectively across departments.
  • Proactive & Adaptable : Comfortable in a fast-paced, evolving environment, with a knack for anticipating issues and implementing preventive measures.
