About The Client
Our client is a U.S.-based entrepreneur managing several family-run ventures, including property management and logistics operations. With new projects under development, the need has grown for a trusted Personal Assistant to streamline operations, manage analytical work, and create order across multiple business initiatives. The role may later transition under a formal entity.
Mission & Impact
You’ll act as the right hand to the owner, combining executive support, project coordination, and technical documentation. This position plays a vital role in freeing capacity, building process efficiency, and driving organization-wide clarity through precise communication and documentation.
Key Responsibilities
- Conduct analytical research and prepare comprehensive reports and documentation.
- Draft and organize business and investor materials, portfolio packets, and proposals.
- Develop and maintain project workflows and trackers using project management tools.
- Use AI tools (e.g., ChatGPT, Notion AI) to automate and enhance daily operations.
- Manage task prioritization, deadlines, and follow-ups for ongoing initiatives.
- Maintain confidentiality while handling sensitive business and personal information.
- Support ad hoc administrative and operational projects as needed.
Must‑Have Qualifications
3+ years of experience as a Personal Assistant, Executive Assistant, or Project Coordinator.Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook).Strong technical writing and document drafting skills, including redlining and formatting.Proven project management experience with an eye for process optimization.Comfortable leveraging AI tools for task automation and research.Excellent written and verbal communication skills.Highly organized, self‑directed, and detail‑oriented.Nice‑to‑Have
Background in computer science, engineering, or an analytical field.Experience supporting logistics or property management operations.Familiarity with tools like Notion, ClickUp, or Asana.Key Performance Indicators (KPIs)
