Executive Strategy & Research Partner (Executive Assistant)

Key Responsibilities
- Strategic Research & Relationship Management (40%)
Thought Partnership & Meeting Preparation : Act as a research engine for the executive’s network, summarize relevant news, recent activities, and potential connection points.
Relationship Mapping : Develop and maintain a comprehensive system to map key contacts, industry targets, and opportunities.Database Management (CRM) : Own the organization and integrity of the contact database; manage the weekly pipeline and lead follow-up process.Property & Contact Research (Ad-Hoc) : Conduct targeted research on properties, contact availability, floorplans, and other ad-hoc requests as needed.Content, Branding & Marketing Execution (30%)Content Creation & Social Media Management : Manage the executive’s social media and email content calendars; develop drafts of content and thought pieces.
Email Marketing Campaigns : Oversee the entire email marketing process from content development to reporting.Reporting & Follow-up : Produce regular reports on email engagement and execute targeted follow-up messages through the CRM.Branding & Design Coordination : Liaise with third-party marketing and design teams for presentation templates, marketing flyers, and event branding.Presentation Development : Assist with the creation of presentations, coordinating with design resources to ensure professional delivery.Event Planning & Social Calendar Management (20%)Annual & Strategic Event Planning : Develop and manage an annual event calendar aligned with strategic targets.
End-to-End Event Logistics : Own the entire event process, including sourcing locations, negotiating contracts, and coordinating day‑of logistics.Social & Dinner Calendar : Manage both personal and professional calendars, organizing logistics for dinner parties and social invitations.Executive & Administrative Support (10%)Email Management : Filter and prioritize the executive’s inbox and schedule follow‑up tasks.
Proactive Personal Task Management : Manage a variety of personal and operational tasks, such as service provider sourcing and personal finance research.Birthday & Relationship Maintenance : Source and track key contacts’ birthdays and discuss appropriate actions with the executive.Qualifications
3+ years of experience in an Executive Assistant, Research, Project Coordinator, or similar high‑touch administrative role.Proven initiative and problem‑solving : History of taking ownership and working autonomously.Strategic mindset : Ability to connect dots, think ahead, and understand the “why” behind an action.Excellent written and verbal communication : Exceptional skill in drafting professional correspondence, meeting notes, and creative content.Technical fluency : Proficient in CRM platforms, Microsoft Office Suite, calendar management tools, and familiar with email marketing tools (e.g., Mailchimp) and AI content tools is a bonus.What Makes This Role Exciting
