ABOUT THE OPPORTUNITY
A leading manufacturer in the power transformers and heavy engineering sector is seeking a detail-oriented, highly organized Project Administrator to join their Sales & Marketing team.
This role provides vital technical, administrative, and data control support during the post-award project phase. You will serve as the crucial link between sales, procurement, and production—initiating project execution through the works order system, managing critical long lead-time component procurement from international suppliers, and acting as the central document controller across customer portals.
KEY RESPONSIBILITIES
• Works Order & System Administration: Open and manage new project, spares, and repair orders on internal ERP systems. Transform awarded tender documents into complete, actionable project files containing all technical specifications for internal stakeholders (Design, Production, Test, Accounts).
• Critical Supplier & Order Management: Prepare requisitions and coordinate stock code creation for major long lead-time components (e.g., CTs, Bushings, On-Load Tap Changers). Track order confirmations and deliveries directly with international suppliers.
• Project Document Control & Portals: Manage end-to-end document control by uploading, tracking, and updating project drawings, test certificates, Quality Control Plans (QCPs), and bonds onto customer portals and internal servers with strict version control.
• Commercial & Bond Compliance: Administer and maintain performance and retention bonds, providing cover for the legal/bonds function when necessary.
• Sales & Marketing Administrative Support: Coordinate marketing materials for sales events, assist with company functions, and support additional planning tasks as assigned by Senior Project Management.
• SHEQ Compliance: Adhere to and enforce ISO 9001, ISO 14001, and ISO 18001 standards across all assigned projects.
MINIMUM REQUIREMENTS
• Qualification: National Diploma (NQF Level 6) in Electrical, Industrial, or Mechanical Engineering, or a relevant Technical / Project Management qualification.
• Experience: 3–5 years of experience in a Technical Administrative, Planning, or Contracts Engineering role within a heavy engineering, manufacturing, or project-based environment.
• ERP Systems: High proficiency in Enterprise Resource Planning (ERP) systems (e.g., Syspro).
• Software Skills: Advanced proficiency in Microsoft Office Suite.
• Key Competencies: Meticulous attention to detail, exceptional organizational skills, and a proven track record of managing multiple concurrent technical projects.
