Job description
A vacancy exists for a Branch Administration Clerk in the Guarding Division based at the Witbank Branch.
The suitable candidate’s main responsibilities and duties include, but are not limited to, the following:
- Liaising with clients and their safety officers/SHE Reps
- Maintaining of branch HSEQ file and client HSEQ files in conjunction with clients and their Safety Officers
- Submitting Monthly Reports, inspections, training stats and registers to the Health & Safety Department
- Satisfying BPC’s & Client ISO 9001 Requirements
- Assisting in maintaining high quality of service levels
- Creating and Maintaining Client Files and Site Files
- Ensuring employees receive induction and all company/client training requirements; maintaining files with evidence thereof
- Ensuring client satisfaction by assisting supervisors and area managers through the use of client visiting sheets and CIIMs (where applicable) (training will be provided on CIIM’s)
- Assisting in keeping the branch aesthetics in a condition that invites future clients while creating a positive and professional work environment
- Read, Understand and Apply the Firearms Control Act at the branch and all sites with firearms
- Ensure that all BPC Firearm SOP’s and Policies are followed on all Firearm sites by conducting site visits on a regular basis
- Submit Monthly Fire Arm reports to HQ
- Maintaining branch records on DMS (training will be provided)
- Conducting Branch Self Audits for Health and Safety, ISO 9001 and Firearms Compliance
- Liaise with HR/IR department concerning disciplinary enquiries with regards to employees disregard/negligence toward your 3 main areas of responsibility
The suitable candidate shall have the following qualifications/attributes/skills:
- PSIRA certification – Grade A
- Grade 12 or equivalent qualification
- Diploma/Degree will be an added advantage
- Excellent written & verbal communication skills
- Good working knowledge of MS Office and excel
- Valid Firearm Competencies for Handgun, Shotgun and Rifle (with Business Purposes)
- Valid Regulation 21 Certificate
- SHE Rep, Fire Fighter and First aider certificates
- Must undergo polygraph test
- Must be fluent in English
- The ability to communicate and present professionally at all levels
- The ability to work under pressure
- Willing to work long hours when required to do so
- Clean disciplinary, criminal and credit record
- Driver’s licence will be an advantage
- Must have own accommodation within the surrounding area
