Job description

JOB TITLE: COMPANY FLEET / USED CAR SUPERVISOR

DEPARTMENT: FLEET

BRANCH: GAUTENG, MIDRAND

REPORTS TO: GROUP HEAD OF DIRECT SALES

KEY DUTIES AND RESPONSIBILITIES:

  • Stock & Vehicle Management:
  • Maintain accurate, up-to-date records of vehicle locations and status within internal systems.
  • Manage the onboarding, capturing, and administration of individual units into used vehicle stock.
  • Oversee dealer stock processes, ensuring full compliance with licensing, registration, and documentation requirements.

Company Car & Pool Vehicle Administration:

  • Communicate all vehicle allocation or reassignment updates to HR
  • Manage the allocation, usage, and tracking of company fleet and pool vehicles in line with company policies.
  • Assist new staff members with their car allowance, including support for those purchasing pre-owned vehicles.
  • Support current staff members in selecting appropriate new company vehicles.
  • Monitor used sales performance and actively support efforts to achieve or exceed auction and sales targets.
  • Load available used vehicles onto Dealers Online and maintain accurate tracking of sold units
  • Prepare and submit price approval instructions to the Commercial Director and CFO for approval.
  • Process invoicing for all used vehicle sales, including dealer and staff transactions.

Operations & Coordination:

  • Coordinate and schedule Pre-Delivery Inspections (PDI) with dealers, internal departments, marketing teams, and media stakeholders.
  • Arrange Car track fitment and removal.
  • Ensure vehicles are prepared and available in line with operational requirements.
  • Prepare and submit accurate month-end reports to regional and finance departments within specified deadlines.
  • Liaise with the Finance Department to obtain stand‑in values for each new month.
  • Manage traffic fine processes by ensuring mandatory notification is issued to both the employee and HR prior to any salary deductions.
  • Identify and report any excess payments and submit the necessary documentation to HR for recovery via employee salary deductions.

Stakeholder Engagement & Reporting:

  • Participate in Vehicle Committee meetings, providing operational updates, insights, and recommendations.
