Minimum Requirements
- Matric / Grade 12.
- Approximately 23 years' administrative experience will be advantageous.
- Previous experience within a legal or professional services environment will be beneficial, but is not essential.
- Strong reading comprehension and ability to understand written instructions.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Strong computer literacy and ability to work efficiently on electronic systems.
- Excellent attention to detail and accuracy.
- Good written and verbal communication skills.
- Strong organisational and time-management skills.
- Ability to prioritise urgent work and meet deadlines.
- Ability to work independently while also functioning effectively within a team.
- Willingness and ability to learn legal processes and terminology.
Duties and Responsibilities
The Legal Administrator will be responsible for providing administrative support within the legal team. Duties will include:
- Monitoring emails regularly and identifying and prioritising urgent work, client instructions and court correspondence.
- Reviewing weekly prescription reports and monitoring the progress of matters.
- Capturing completed instructions and all relevant information accurately on internal systems.
- Uploading documentation for review by the instructing attorney.
- Communicating with clients regarding granted matters, queries and documentation uploaded for their review.
- Assisting with the day-to-day coordination and oversight of junior administrative staff where required.
- Providing clear and professional communication to clients and correspondents.
- Assisting with the preparation and amendment of legal documents for upcoming lodgement routes.
- Attending to urgent matters received via email.
- Amending, preparing and arranging the courier of documentation to correspondents in outer-lying areas.
- Ensuring documentation is correctly updated, packaged and dispatched timeously to meet court and client deadlines.
- Monitoring documentation for outer-lying areas and escalating urgent matters where necessary.
- Sending conflict-of-interest correspondence to correspondents before documentation is couriered.
- Checking correspondents' invoices for accuracy before submitting them for payment.
- Maintaining accurate electronic records and ensuring information is correctly captured on relevant systems.
- Assisting with additional administrative duties as operationally required.
