Manage executive diaries, appointments, meetings and changing schedules.
Coordinate meeting agendas, presentations, supporting documents, actions and follow-ups.
Prepare and format professional correspondence, reports, presentations and other executive documents.
Arrange domestic travel, including flights, accommodation, transport and itineraries.
Liaise professionally with executives, employees, clients, suppliers and other stakeholders.
Manage changing priorities, interruptions and urgent requests, while following through on existing responsibilities.
Handle confidential company and executive information with discretion.
Take ownership of ad hoc requirements and find practical solutions.
Corporate communications and creative coordination
Coordinate established corporate communications using existing templates, brand guidelines and processes.
Adapt and update material such as internal newsletters, annual calendars, event invitations, presentations and company profiles.
Coordinate website updates by gathering accurate information and liaising with relevant teams or service providers.
Coordinate corporate LinkedIn and communication requirements, including sourcing project information, photographs and approved content.
Organise and maintain photographs, project information and other corporate communication material.
Prepare and update documents and presentations using PowerPoint, Word, Canva and other suitable tools.
Coordinate printers, designers, photographers and other suppliers when required.
Maintain consistency across corporate material and follow established brand standards.
Events and coordination
Plan and coordinate conferences, workshops, executive meetings, corporate functions and employee initiatives.
Manage event logistics, including venues, accommodation, travel, catering, attendance, suppliers and attendee communication.
Coordinate corporate and guest golf trips, including bookings, travel, accommodation, itineraries, transport and event material.
Adapt established templates for event invitations, programmes, signage, gifting and related material.
Coordinate attendees and stakeholders before, during and after events.
Document quality and attention to detail
Review documents carefully before distribution and take responsibility for the quality of the final output.
Check spelling, grammar, punctuation, names, dates, figures and factual information.
Maintain consistent formatting, fonts, spacing, alignment, headings and page layouts.
Select appropriate, high‑quality images and ensure material is visually balanced.
Identify errors and inconsistencies independently.
Follow established templates while applying sound creative judgement when adapting them.
Ensure presentations, invitations, newsletters, calendars and other documents are polished and ready for executive or external use.
What you’ll bring
Proven experience as an Executive Assistant or in a senior management support role.
Experience supporting senior executives in a professional corporate environment.
Strong Microsoft 365 skills, particularly Outlook, Word, Excel and PowerPoint.
Confidence using Canva or similar tools to adapt templates and corporate material.
Strong document creation, formatting and presentation skills.
A creative eye and a good understanding of professional layout and visual presentation.
Exceptional attention to detail and commitment to accuracy.
Excellent written English and professional business communication skills.
Strong organization, time management and follow-through.
The ability to work independently, take initiative and identify what needs to be done.
A resourceful approach to unfamiliar tasks and changing priorities.
Professional confidence when dealing with senior executives and stakeholders.
Discretion when handling confidential information.
Comfort planning conferences for up to 140 delegates, as well as other events.
Experience in construction, engineering or another project-based corporate environment would be advantageous.
The person we’re looking for
You are dependable, organised and comfortable anticipating what senior executives need. You take ownership, follow tasks through and can move smoothly between executive support, document preparation, communications coordination and event planning.
You do not need to be a marketing specialist or graphic designer. You should, however, be able to use established templates and tools with good visual judgement, adapt material to a professional standard and spot when something needs attention.
