Position Overview The Procurement Officer is responsible for purchasing raw materials and packaging, balancing inventory levels, and maintaining precise procurement records. The role involves coordinating closely with suppliers to negotiate pricing, monitor delivery schedules, evaluate supplier performance, and support internal departments to ensure continuous production availability. Key Responsibilities Procurement & Inventory Operations Manage the end-to-end procurement process for ordering raw materials, premixes, and packaging materials (rolls, labels, tubs, and tub covers). Goods Receive Voucher (GRV) all delivered stock in accordance with purchase orders and contracts. Track stock levels, balance inventory, and anticipate upcoming raw material requirements to prevent production interruptions. Ensure Certificates of Analysis (COA) are obtained for all inbound products and filed systematically. Conduct regular physical inspections of premix areas, raw material stores, and medicine rooms. Supplier Relationship & Contract Management Liaise with vendors to confirm lead times and delivery schedules for bulk commodities and raw materials. Source updated price lists from active suppliers and request quotations from prospective vendors. Assist in negotiating contracts and commercial terms to secure competitive pricing. Conduct formal supplier performance evaluations and resolve vendor complaints or non-conformance issues. Cross-Functional Collaboration & Compliance Partner with Production, Quality Control, and Finance departments to ensure material availability aligns with production schedules. Maintain adherence to occupational health, safety, and hygiene standards (OHS). Support compliance with quality and food/feed safety management systems (e.g., ISO 22000). Supervise support staff, delegating tasks and fostering team productivity. Minimum Requirements Education: National Senior Certificate (Grade 12 / NQF 4 equivalent). A tertiary qualification in Supply Chain Management, Logistics, Business, or Agriculture is advantageous. Experience: Minimum of 3 years of procurement or administrative experience, ideally within a manufacturing, production, or milling facility. Industry Knowledge: Prior experience in the animal feed, agricultural, or food manufacturing sector is strongly preferred. Licence: Valid South African driver's licence (own reliable transport required). Key Competencies & Technical Skills Software Systems: Intermediate proficiency in MS Office (Excel, Word, Outlook), SharePoint, and ERP/accounting systems (e.g., Pastel, Kairos, or C-Works). Procurement Expertise: Solid understanding of purchasing principles, stock control, GRV processing, and quality standard requirements (ISO 22000). Core Abilities: High attention to detail, strong numerical/critical thinking ability, sound problem-solving skills, and resilience under operational deadlines.
