Role Overview
Join Job Duck as an Intake Specialist and become the welcoming first point of contact for individuals seeking family law support. In this role, you will answer incoming calls, gather essential information, assess prospective clients, and schedule consultations while ensuring every interaction is handled with empathy and professionalism. You will help maintain accurate client records and create an organized intake experience that allows the legal team to respond effectively to each inquiry. This opportunity is ideal for someone who communicates clearly, pays close attention to details, and understands the importance of honesty and confidentiality. Monday to Friday from , 8:30 a.m. to 5:30 p.m. [EST][EDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Communicating clearly and compassionately with individuals who may be experiencing sensitive family situations.
- Protecting confidential client and prospective client information.
- Identifying missing or incomplete intake information and obtaining the necessary details.
- Maintaining consistent availability throughout the established working schedule.
- Using RingCentral to manage incoming and outgoing telephone communications.
- Providing callers with clear information regarding next steps in the consultation process.
- Collaborating with paralegals, legal assistants, attorneys, and administrative team members.
- Following up on prospective client inquiries when requested.
- Supporting additional intake and client service tasks as assigned and appropriately trained.
- Answering approximately 30 to 40 incoming calls each day in a professional, friendly, and timely manner.
- Asking appropriate intake questions to understand each caller’s needs and circumstances.
- Entering caller and prospective client information accurately into Lawmatics.
- Maintaining complete, organized, and current intake records.
- Vetting prospective clients according to the firm’s established criteria and procedures.
- Scheduling consultations based on attorney availability and established scheduling procedures.
- Serving as the first point of contact for prospective clients seeking family law services.
- Listening carefully to callers and gathering the information required for the intake process.
What We’re Looking For:
- Approximate volume of 30 to 40 incoming calls per day.
- Previous intake, customer service, reception, lead qualification, or client-facing experience required.
- Previous experience using a customer relationship management (CRM) platform preferred.
- Experience in a law firm or family law environment preferred but not required.
- Ability to gather and document sensitive information accurately.
- Ability to maintain confidentiality and exercise sound judgment.
- Reliable availability throughout the established working schedule.
- Strong internet connection and a professional remote workspace.
- Proficiency with Lawmatics.
- Proficiency with RingCentral.
