About the role

The Data Centre Contract Support role is responsible for providing comprehensive administrative, financial, and coordination support to ensure the effective delivery of Data Centre facilities management services. The role supports Contract Management in meeting contractual obligations, maintaining accurate records, managing subcontractor processes, and ensuring compliance with health, safety, and company policies. The ultimate objective is to support 100% uptime of critical engineering services with zero impact to client operations.

What you will bring

Essential:

  • Grade 12 with passes in Mathematics and English.
  • Minimum of three (3) years’ experience in a similar administrative/contract support role.
  • Experience with basic financial and HR administration (billing, invoicing, time sheets, leave tracking).
  • Proficient IT skills with working knowledge of Microsoft Word, Excel and PowerPoint

Deserable:

  • Knowledge of CAFM/CMMS/PPM systems.
  • Experience with access request and change management systems.
  • Experience covering administrative, financial, and HR responsibilities.
  • Supervisory experience

What you will be doing

Client Billing / Invoicing

  • Review and assess billing templates and schedules.
  • Maintain and update billing schedules daily.
  • Process and submit invoices timeously.
  • Issue monthly debtor statements.
  • Liaise with clients regarding unbilled revenue.
  • Resolve billing queries efficiently.
  • Ensure sufficient funds are available for all POs

Record Keeping

  • Maintain accurate and up-to-date contract records.
  • File contracts, amendments, RAMS, and reports.
  • Ensure documentation is easily accessible and audit-ready

Performance Monitoring

  • Monitor contract compliance and service delivery.
  • Identify discrepancies and elevate where required.
  • Track subcontractor performance feedback

Renewals and Terminations

  • Manage contract renewals, extensions, and terminations.
  • Ensure correct documentation and notifications.

Continuous Improvement

  • Identify process improvement opportunities.
  • Streamline workflows and administrative processes

Communication and Coordination

  • Act as primary contact for contract-related queries.
  • Coordinate finance-related communication between client and finance.
  • Liaise with internal teams and external stakeholders
  • Support HR-related administration queries at site level and elevate where required

Purchase Orders

  • Generate purchase requests.
  • Process GRNs.
  • Monitor and manage all active POs.
  • Resolve long outstanding POs

Cost Management

  • Verify expenses against approved quotations.
  • Identify and elevate budget overruns.
  • Coordinate with finance and suppliers on cost variances

HR Administrative Support

  • Compile and submit accurate time sheets and attendance records.
  • Monitor and report staff absence and leave in line with BCEA requirements.
  • Maintain employee and training records for audit and compliance purposes.
  • Assist with coordination of training and skills development initiatives.
  • Support onboarding and exit administration processes
