Customer Service Coordinator

KEY DUTIES AND RESPONSIBILITIES:

• Manage customer orders from order confirmation through to product loading, ensuring deliveries are completed according to agreed timelines.
• Receive and process customer forecasts and maintain accurate demand information in AlplaPROD.
• Monitor finished goods inventory and proactively communicate stock availability to customers, ensuring forecasted requirements are fulfilled.
• Manage and control old, slow-moving, and obsolete stock by proactively engaging customers, reviewing inventory ageing, coordinating recovery plans, and supporting activities to minimize stock write-offs and inventory carry costs.
• Coordinate with transport and freight service providers to ensure vehicles are scheduled and available for on-time shipments.
• Prepare and manage all shipping documentation, including export documentation and compliance requirements.
• Liaise closely with production planning and finished goods warehouse teams to ensure seamless order fulfilment and inventory management.
• Collaborate with cross-functional departments including Quality, Sales, Finance, and Logistics to resolve customer service issues and support business objectives.
• Make arrangements regarding returnable secondary packaging with customers to ensure packaging availability and efficient returns management.
• Process scrap sales orders in the system based on instructions received from the relevant logistics function.
• Monitor customer forecast accuracy and support actions to align production, inventory, and delivery plans with customer demand.
• Ensure compliance with all applicable requirements of the C03 Manufacture, Store and Deliver Products process within the ALPLA Metro Map framework.
