Remote Event Coordinator (Hospitality)

Our client, a prestigious hospitality group renowned for its exquisite venues and exceptional service, is seeking a creative and highly organized Remote Event Coordinator. This role is entirely remote, allowing you to manage events from anywhere. You will be instrumental in planning, coordinating, and executing a wide range of successful events, from intimate gatherings to large-scale functions, for our diverse clientele. The ideal candidate will possess a strong background in event planning within the Hospitality & Tourism sector, exceptional organizational skills, and a keen eye for detail. Working remotely, you will liaise with clients, vendors, and internal teams to ensure seamless event execution and client satisfaction. Key Responsibilities

• Plan, organize, and manage all aspects of events, including venue selection, catering, audiovisual requirements, and entertainment.
• Liaise directly with clients to understand their event needs, objectives, and budget, providing expert guidance.
• Develop detailed event proposals, timelines, and floor plans.
• Coordinate with internal departments (e.g., catering, banqueting, sales) and external vendors (e.g., decorators, photographers) to ensure smooth execution.
• Manage event budgets, track expenses, and ensure profitability.
• Oversee event logistics, including setup, breakdown, and on-site management (where applicable or through delegated on-site staff).
• Conduct post-event evaluations and prepare reports on event success and client feedback.
• Maintain strong relationships with clients and vendors, fostering repeat business.
• Stay abreast of industry trends and innovations in event planning and hospitality.
• Ensure all events comply with company policies, safety regulations, and licensing requirements.

Requirements

• Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
• Minimum of 3-5 years of proven experience in event planning and coordination, preferably within the Hospitality & Tourism industry.
• Demonstrated success in managing a variety of event types and sizes.
• Excellent organizational, time management, and multitasking skills.
• Strong negotiation and vendor management abilities.
• Exceptional communication, interpersonal, and client-facing skills.
• Proficiency in event management software and standard office applications.
• Creative thinking and problem-solving capabilities.
• Ability to work independently, manage projects remotely, and meet tight deadlines.
• Knowledge of the South African event and hospitality landscape, particularly in the Western Cape region, is advantageous.
• Flexibility to work non-traditional hours, including evenings and weekends, as event schedules demand.
