Brief Description
Key responsibilities include the following
- Preparation of notices, agendas, minutes and documentation for Governance and Management committees of the University
- Liaison with and where necessary an oversight role to other Committee Coordinator / s
- Administration of elections
- Maintenance of committee membership lists
- Committee‑related tasks delegated by the Vice‑Chancellor / Deputy Vice‑Chancellors or other senior staff including the Head : University Secretariat, which can involve answering queries, background research, setting up of discussion groups, drafting letters and proof‑reading documents
Minimum Requirements
Degree on NQF level 7 or a Diploma on NQF level 6 as a minimum qualificationMinimum of five years proven experience in –Drafting and editing high‑level meeting documentation, e.g. drafting of reports and the compilation of agendas and minutesExcellent proficiency in written and oral skills in the English languageRequired Competencies (knowledge, Skills And Behavioural Attributes)
Knowledge of the following –Email systems and its functionalities to facilitate meeting managementAdministrative systems and processesCompiling high‑level reports, agendas and minutesExcellent planning, organisational, administrative and time management skillsDemonstrable ability to –Précis debate at a high level and compile coherent reportsPrioritise, pay attention to detail and act on information, maintain confidentiality, collegiality and professionalismPerform in a highly pressurised and deadline driven environmentEffective administration of online / hybrid meetingsDemonstrable experience in computer literacy in Microsoft Office products and services, especially Microsoft Outlook, Word, Teams, OneDrive and SharePointPreference
