Job Requirements
Degree in finance and / or related field of studyMinimum of five years’ Grant management / accounting experience including the preparation of Audit Committee Reports, management accounts and income and expenditure statementsAt least 5 years’ experience managing Senior Grants staffExperience in working on SAP Business 1 or similar financial softwareKnowledge of Office Suite and ExcelKnowledge of grants policies and procedures (e.g. NIH and EU)Knowledge and implementation of SARS rules on VAT of incomeComputer literacy in Ms Office; Excel (Advanced)Attention to detail and good numeracy skillsExcellent analytical and problem-solving abilitiesExcellent communication skills – verbal and writtenIntegrity, a personal sense of accountabilityResponsibilities :
Optimizing the grants system
Ensuring all Standing Operating Procedures (SOP’s) and policies are in placeDevelop a dashboard in SAP for visibility of the grants functionFinancial reporting and risk mitigation
Oversee the Debtors function and ensure that invoicing takes place as per milestones and according to funder contractingDevelopment of quarterly reports on grants pipeline and project sustainability statusOversee the issuance of valid, accurate and complete grant related information to funders and any other ad hoc stakeholdersGrants Finance Management :
Oversee grants management process flow and SOP to ensure timely submission of reports and invoices by the grants team to funding agencies (within due dates)Develop and maintain expertise in the grants proposal legal framework and funder requirementsAssign and support allocation of new grant awards, to ensure the financial requirements of the organization are met by the Grants TeamDevelop and maintain a database for active grants to ensure that all post-award reporting deadlines are adhered to and sustainability can be measuredWork with the Grants Technical specialist to ensure funder specific compliance requirements are met with regards to proper allocation of revenue and expenditure to projectsMaintain a high level of knowledge of grant contract terms and conditions to support problem solving and resolution of complex post-award issues (e.g. carry-over requests, resourcing of early termination costs, Project-to-Project cost allocations, etc.)Work closely with Finance Team to efficiently and effectively manage post award reportingEnsure all funder reports are presented to CFO monthly for final sign off by CFOManage the organization revenue for sustainability through the invoicing and Budget vs Actual expenditure monitoring across all active awards for presentation to CFOStaff Management :

Day-to-day administration and management of all budgets in the pipelineUnderstand, interpret and advise on donor / funder budget requirementsCoordinate with collaborating departments and external institutions in the preparation of grant proposals to ensure that all costings and justifications are completed in a timely manner to enable consolidation of the applicationEnsure all applications meet the Organization criteria with respect to overheads and cost recovery, and advising of full economic costing where appropriateMaintain communication with all relevant role players to address questions, concerns and ensure budget and due diligence tasks and deadlines are adhered toEnsure that budgets are submitted in line with funder requirements and within the required deadlinesReview award letters against application submitted and raise any variances with the PI or CEO to confirm that the project can be accepted and the study can be carried out within the revised budgetsEnsure contract tracking system is updatedDay-to-Day management of Pre-Award SpecialistsAny other tasks and duties that may be appropriate to this positionAny other tasks and duties that may be appropriate to this positionAccounting / Financial Services jobs
