Purpose of Job

This position supports the management team operations and maintenance functions within Emergency Management. The role is key to maintaining Maintenance records for statutory service work.

Key Accountabilities

Operational financial and technical results :

Maintain the approved & effective work practices required within this role so that the maximum benefit is derived from the available resources.

Supports the Senior Manager Area Manager Operations and Maintenance Manager with daily management activities including meeting minutes diary management answering telephone calls and other administration functions.

Support the management operations and maintenance teams with team functions planning and venue management.

Manage stores maintain stationary and do necessary orders and purchases on behalf of teams. Tracking and logging of KPI deliverables.

Leadership and values :

Participate in strategy sessions management interventions and EM team events. Engage respectfully with partners and assist with governance processes in EM.

Effective management recording and tracking of agendas minutes and next steps of meetings.

Effective execution and follow-up of purchase order request and deliveries to assist Security :

Stock Control Orders - Monthly ordering stock for the Operational and Consumable storeroom as per stock control sheet PPE Management - Consolidate PPE requests and create PRs Internal Purchase Requests - Action ad-hoc purchase requests Purchase Order Record - Daily as per request - Coordinating and complete spreadsheet as per requests received.

Prepare draft maintain and capture reports documents & written records; book and prepare meeting rooms disseminate information to team members maintain filing database systems and inventories.

Safety Administration & Support :

Manage and effectively coordinate safety administration responsibilities including booking recording and maintaining records of safety meetings. Support the Emergency Management compliance towards compliance with second- and third-party audit requirements. Distribute audit preparation and compliance information.
