Sagen Advisory Recruitment Company is seeking a driven, meticulous, highly organized, detail-oriented, and passionate Administrator/Bookkeeper based in the Mossel Bay area to join our rapidly expanding international accounting firm client who has offices in Cape Town, Mossel Bay, London, and Ibiza Spain. This is an office-based role, offering a collaborative and supportive work environment in the beautiful Western Cape. This is a good role for someone with bookkeeping experience, preferably in a practice environment, wanting to gain further experience within an accounting practice with ample opportunities to receive on-the-job training and the strong possibility for growth within the business. We seek someone with integrity, grit, and a drive for continuous improvement to ensure our processes are efficient and our clients are well-supported.

Key Responsibilities:

  • Administrative Support & Process Management:
    • Manage and navigate software applications, including Microsoft 365 (SharePoint, Teams, Word, Excel, PowerPoint), Karbon, and other relevant tools.
    • Ensure proper organization and storage of all documents and files according to established processes.
    • Research, implement, and train the team on new software features or tools to enhance productivity.
    • Monitor adherence to internal processes, identify inefficiencies, and propose actionable improvements.
    • Conduct routine audits of systems and processes to ensure accuracy and efficiency.
    • Manage repetitive tasks, such as proofreading and formatting, with consistency, patience, and attention to detail.
    • Preparing reports.
    • Scheduling meetings and managing calendars.
    • Ad hoc duties as required.
  • Bookkeeping & Accounting Support:
    • Bookkeeping up to trial balance.
    • Provide accounting and clerical support to the accounting department.
    • Assist with reconciliations.
    • Payroll preparation.
    • Statutory reporting.
    • Assist with Debtors, Creditors, and invoicing.
    • Requesting and gathering financial documents.
    • Updating and maintaining financial records, including existing client records.
    • Sorting and filing of financial records.
    • Data capture and data collection.
    • Correspond with clients regarding their accounts, balances, and payments.

Client Liaison & Communication:

    • Liaising with clients.
    • Client service delivery and query resolution.
    • Oversee the onboarding of new clients.
    • Work closely with accountants and team members to coordinate administrative tasks and meet deadlines.
    • Provide clear communication, updates, and insights to ensure tasks and goals are aligned.

Qualifications and Experience:

  • Matric with solid results.
  • Diploma, degree, or certificate in finance or a related field (will be advantageous).
  • Bookkeeping or accounting experience.
  • 2+ years of administration experience in an accounting, law, or corporate environment.
  • Working experience on accounting software such as Xero, Sage, Pastel.
  • Microsoft Office – Excel, Word, Outlook proficiency preferred.

Remuneration: R8 000 to R15,000 per month CTC, depending on qualifications and experience.
